Clerical Officer - 37.5 hours

The Radiology Department at The Christie NHS Foundation Trust are looking to recruit an enthusiastic, self-motivated, and approachable individual to work within our busy, friendly team on a 12-month fixed term to cover for maternity leave.

The role involves mainly providing reception duties in the CT department and other clerical support within a team based in the Department of Radiology comprising of MR, CT, X-ray, and Ultrasound.

The post holder will provide reception duties in the CT department and other clerical support within specified areas of the Radiology department which includes CT, MRI, X-ray and Ultrasound.

The post holder will ensure that patients are accurately registered on the computer system and that all required information is available for their attendance.

To undertake a variety of clerical duties required in a demanding and challenging department.

DUTIES AND RESPONSIBILITIES
- Using MEDWAY, Radiology Information System (RIS) and Clinical Web Portal (CWP) patient administration systems and learning how to use as a reference tool.
- Responsible for receiving patients at reception. Attending patients in RIS and informing appropriate staff of their arrival and dealing with any concerns the patient might have.
- Responsible for the receipt of requests via CWP. Constant reviewing and updating of the CWP system are required for incoming messages regarding requests and following agreed escalation policies when appropriate. Orders to be printed, processed, and actioned as required, and outside imaging checked.
- Communicate sensitive information in a diplomatic manner with departments both internally and externally.
- Assisting across the department with sending out letters and distribution of Radiology examination literature to patients.
- In times of severe staffing shortages, may be called upon during lunchtime cover to assist with answering phone calls and taking messages for staff to deal with on their return.
- Monitoring and maintain appropriate levels of stationery including patient information leaflets, highlighting when stocks are low.
- Obtaining case notes, images, and reports for radiologists within the department for specialist examination reviews.
- To maintain and improve communication links between Radiology and other departments throughout the Trust.
- Undertake any other duties commensurate with the post, within reason, when called upon by the Office Administrator, Secretarial & Clerical Team Leader and Directorate Operational Managers to assist in maintaining a high standard of service, following appropriate training.
- To participate in the Trust’s mandatory training.
- To ensure that confidentiality is maintained at all times of all written, verbal, and electronic information in line with the Trust policies; awareness of data protection and General Data Protection Regulations (GDPR).
- To show compassion and understanding when exposed to destressing/emotional and unpleasant circumstances taking personal action/escalation to resolve patient issues, concerns or complaints.
