Data & Records Supervisor

Our client is looking for a Data and Records Supervisor on a permanent basis, located in Aberdeen.
**ROLE**
- The Information, Data & Records Supervisor is responsible for ensuring physical archive services and data destruction are delivered in line with company data management and retention policies
- The role is accountable for the creation and lifecycle management of all information and data processes, standards, guidelines, and best practice and will ensure these are adhered to across the organisation
- Together with the Information & Records Adviser, the role will work with business customers to understand service performance against needs, align on data quality and agree business ownership of or responsibility for data
- A key requirement of the role is not only to maintain its functional capabilities, but to develop the discipline to improved ways of working demonstrated by results such as the extent to which SLAs with the business are delivered and achieved
**RESPONSIBILITIES**
- Ensures 3rd party support vendors fulfil their contractual obligation to meet the information and data requirements of company now and in the future (including resourcing and offsite storage)
- Provides guidance to all company assets and functions on streamlining unstructured information across public or private drives, LiveLink and SharePoint
- Works with the Senior Manager - Service Operations and supply chain to support IS operations sourcing strategy and partner relationship management
- Supports the execution of the IS strategy and roadmap
- Supports the Senior Manager - Service Operations with the development of the annual budget
- Works with the Senior Manager - Service Operations and 3rd party suppliers to develop workforce plans that ensure IS operations, via 3rd party support vendor, ensuring they can supply skilled resources to meet current and future demand across the enterprise
- Adheres to enterprise technology standards, governance processes and performance metrics
- Ensures the adoption of (and commitment towards) service improvements
- Builds successful peer relationships with other IS and business functions through a clear understanding of business needs, and ensures delivery of information mgmt. services to meet those needs
- Follows the formal governance mechanism to establish and monitor effective controls for the processes and functions performed by IS operations teams
- Provides technical support to the Subsurface product line
- Ensures provision of information and data services is consistent with IS cyber security requirements
- Provides continuous support to improve systems and content in all information mgmt. systems for company, including the creation and continuous revision of information mgmt. processes and procedures
- Liaises with functional & asset managers and offshore & onshore operations to ensure that information mgmt. services continue to meet the requirements of the business
- Creates document templates and document metadata that allow content to be managed throughout its life cycle
- Develops staff through coaching, mentoring and performance management
- Uses professional knowledge and experience to set departmental goals which align with the overall function strategy
- Works with colleagues in International Business Units (IBUs) to ensure governance, standards and compliance is aligned, and supports international IS functions where required
- May be required to provide out of hours support via an on-call rota
**REQUIREMENTS**
- Experience of managing a team, with the ability to communicate the IS operations objectives and motivate staff
- Excellent analytical, strategic conceptual thinking, strategic planning and execution skills
- Strong industry and domain specific knowledge of the enterprise and its business units
- Experience of developing and implementing process improvements
- Ability to make decisions based on experience and gain support for major initiatives
- Strong negotiation and influencing skills
- Self-motivated with a willingness to go the extra mile to achieve important goals
- Experience of delivering governance practices to track and measure the quality of services, and maintain service improvement plans
- Strong third-party management skills, working closely with sourcing and vendor managers
- Excellent verbal and written communication skills, including the ability to explain technical concepts and technologies to the IS workforce
- Understanding of regulatory requirements, including cross-industry regulations (e.g., GDPR, Data Protection Act)
