The post-holder will provide an effective and efficient secretarial service to the Mental Health Senior Leadership Team

The post-holder must work pro-actively and on their own initiative with a sound understanding of the business of the Trust and current practices to manage workload and ensure information is communicated appropriately and enquiries are directed correctly.

The post-holder will liaise with a wide range of people, partner organisations and agencies, both internally and externally on behalf of the Mental Health Senior Leadership Team, ensuring that a professional image is maintained at all times through appropriate use of language and behaviour.

- Provide a confidential, effective and efficient secretarial service to the Senior Leadership Team, providing and receiving complex and often sensitive information.
- Produce a range of highly confidential, good quality documents including typing of confidential letters, reports etc.
- Process staff change forms and relevant letters; data amendment forms; termination forms and general HR relevant information.
- Use E-Roster system to input Out of Hours overtime for clinical staff, short notice annual leave, sickness absences (on behalf of the managers).
- Support the wider clinical staff with annual leave, pay queries and general HR queries.
- Locate and analyse relevant data from various sources, feedback to the managers regarding anomalies.
- Manage the managers’ diaries by arranging regular management meetings, management supervision, appraisal meetings etc.
- Arrange and coordinate Team meetings, and other relevant meetings,
- Coordinate Team events; booking venues, arranging hospitality, liaising with internal and external stakeholders e.g. Team Away Days, Training events.
- Support Team Leaders with a wide range of projects; recruitment shortlisting and interviews for admin staff; training new admin staff; projects to improve admin processes.
- Support the admin staff with their administrative queries and working collaboratively with the wider admin team to offer support if required.
- Organise and maintain personal records for the clinical staff

Infection Control

Maintain an up to date awareness of the infection control precautions relevant to your area of work and implement these in practice. As a minimum, this must include hand hygiene, the use of personal protective equipment, the use and disposal of sharps and communicating the importance to patients, prison staff and other health care staff you are working with. Details of the precautions and sources of advice and support to assess and manage infection control risks are provided through mandatory training which all staff must attend at intervals defined in the Trust policy on mandatory training and can be found in the Trust’s infection control policies and national guidance, such as that published by NICE.
