Training will be provided to support a sound working knowledge of patient and staff record systems e.g. EMIS, Health Roster.

To provide administrative support to the dietitians within the Community Nutrition and Dietetic Department including general administrative tasks, IT support and to act as the shared focal point for communications within the department.

To support dietitians in delivering the dietetic service by undertaking related administration predominantly the electronic patient record (EPR) system (Carenotes), DOCMAN, Outlook, Excel and MS Teams.
To participate in project work for the benefit of patients and the dietetic department.

To undertake and oversee the ordering, delivery and payment of nutritional products using the electronic registration system. (eReg)

Administration

2) Be responsible for the administration and registration of referrals to the team using the EPR system (EMIS) and any other relevant IT services.

4) Act as a buddy for members of the department as per the lone worker policy.

5) Be responsible for the ordering and supply of nutritional products to tube fed patients in the community using the web-based ordering and invoicing system eRegistration (eReg).

6) To access and update Healthroster as required.

Communication

1) To act as a first point of contact for patients/staff/visitors dealing with daily queries/referrals, forwarding details to relevant staff and ensuring urgent messages are prioritised. This includes responding in a confidential and sensitive way and actioning accordingly.

3) To be the first point of contact for nutrition representatives, booking in visits according to team requirements.

4) Assist dietitians with the collating and formatting of dietary information such as diet sheets and other relevant documentation required for patient talks, presentations, training or clinics.

5) Participate in regular team meetings providing administrative support including preparing agendas, minutes, and collation of actions, ensuring cover is provided in the absence of other admin team members.

Organisational

1)To compile all relevant administration support for each dietitian to use for clinics e.g. provide list of patients, contact details, communication needs e.g. booking an interpreter where necessary.

2) To maintain a good level of stock control for dietetic resources, ensuring items are always available, including nutritional product or tube related items.

3) To monitor and order stationary stock items and uniforms via e-procurement, as required.

4) To order and maintain stock of PPE.

5) To organise room bookings, education sessions and away days as appropriate.

6) Participate in the induction and orientation of new staff and students including arranging name badges and access cards.

7) Assist with the ordering and supply of nutritional products to tube fed patients in the community using the eReg system.

8) Assist with the monitoring of HEF eReg invoices as required and complete and send VAT letters and exempt forms to GPs for new HEF patients.

9) Maintain and manage own diary within the administrative team ensuring day to day administrative duties are seamlessly maintained in both PC and HEF especially in times of other staff absences.

10) Take responsibility for organisation of MS Teams files, updating and deleting files as necessary.
