We are a GP practice based on Poundbury, Dorchester working out of purpose-built premises with good facilities.
We are undergoing an exciting period of development and are looking for an enthusiastic person to join our reception team as a
**part-time receptionist **on a permanent contract**
This is a 20* hour per week post over the following days:
- Monday - Friday 11.30am to 3.30pm
- Pay scale £9.79 per hour.
*additional hours may be available following discussion.
This is a varied and interesting role and the right attitude to customer service and team working is essential. Training on all aspects of the job will be given.

- To project a positive and friendly image to patients and other visitors, either in person or via the telephone, and to offer general assistance in support of clinical and non-clinical staff
- To receive, assist and direct patients in accessing the appropriate service in a courteous, efficient and effective way.
- To undertake a variety of general duties to assist in the smooth running of the Practice including the provision of reception, secretarial and clerical support to clinical and non-clinical staff
- To facilitate effective communication between patients, members the primary health care team, secondary care and other associated healthcare agencies.
**MAIN DUTIES AND RESPONSIBILITIES**
The duties and responsibilities to be undertaken by members of the Practice reception and administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Patient Services Manager, dependent on current and evolving Practice workload, staffing levels and timetables:
**General duties**:
- To deal with all enquiries in a polite and informative manner, both face to face and on the telephone.
- Receive, divert and make telephone calls as required, taking messages as necessary and as directed, ensuring accuracy of detail and prompt appropriate delivery.
- Respond to all queries, or refer to an appropriate person.
- Provide additional back up assistance for appointments booking system and general reception duties during periods of heavy activity
- Processing and distributing incoming and outgoing mail
- Ensure regular, accurate filing of both hard copy and electronic medical records remain up to date.
- Provide administrative support to members of the Primary Health Care Team ensuring appropriate Practice records are kept up to date including: filing and scanning, workflow action tray, computer data entry, data allocation and collation; photocopying; processing and recording information in accordance with Practice procedures
- Retrieve and re-file all records as required, in strict alphabetical order
- Ensure correspondence, reports, results etc are filed in correct records
- Ensure all records are kept neat and tidy and in good repair, with all necessary information recorded correctly on the outer cover.
- To be flexible in providing cover within the Practice in times of annual leave or sickness, in accordance with current rota policy.
- Keeping the kitchen areas in the staff room and ground floor pantry clean and tidy, including loading and emptying the dishwasher and keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
- To follow safe systems of work, and report hazards to the Patient Services Manager in accordance with Health and Safety procedures.
- To ensure completion of annual mandatory training in plus training deemed suitable for your role
- Carry out any other duties commensurate to the grade and as requested by the Reception Manager
**Reception Area**
- Opening up and locking up of Practice premises and maintaining security in accordance with Practice protocols
- Ensure effectiveness of the appointment system, making new and follow-up appointments as necessary and monitoring the flow of patients in the surgery, including the visits/phones screen.
- Ensure requirements for repeat prescriptions are actioned in accordance with Practice policy and procedure.
- To deal with all Reception enquiries in a polite and informative manner, both face to face and on the telephone, explain Practice arrangements and formal requirements to new patients and those seeking temporary cover.
- Enter requests for home visits into the visits book, ensuring careful recording of all relevant details and where necessary refer to the Duty Doctor.
