An opportunity has arisen within the Planned Care Division for a Medical Secretary. The post holder will work within the Vascular Department based at the Warrington Hospital. In this role the post holder will provide secretarial and administrative support to the Consultants and wider Vascular Team.
Excellent communication and administrative skills are essential for this role, along with a keen eye for accuracy and detail. Organisational skills are also essential. Consultant diaries and associated clinical activity must be kept up to date to ensure the service we provide to our patients runs smoothly and efficiently.
A working knowledge of general office procedures and Microsoft packages is required, but full training will be given in the use of software required. Knowledge of medical terminology also would be an advantage.
1. To provide a comprehensive secretarial support to Consultants and wider vascular team.
2. As directed, arrange routine, urgent and fast track patient admissions/appointments by liaising with the patient, GPs, hospital co-ordinator, wards and other departments as necessary, keeping the team informed and ensuring patient notes and all necessary correspondence is available for the admission/appointment.
3. To undertake audio transcription of clinic and miscellaneous digital dictation as required by the Team Leader, ensuring all correspondence is checked by the author and signed off before distribution.
4. To maintain proficiency and accuracy in the use of medical terminology.
5. To ensure test results are passed to Consultant’s for review in a timely manner.
6. To ensure referrals are passed to Consultant’s for grading in a timely manner.
7. You will participate in dealing with internal and external post, distributing correspondence for action as appropriate and keeping a comprehensive filing system for general information.
8. To undertake the filing of letters and diagnostic results into patient case notes, following Health Records Guidelines.
9. To undertake the sorting and tracking of case notes, returning back to file and putting into labelled boxes ready for collection by portering staff.
10. To locate and retrieve case notes from various areas of the Trust using the case note tracking system, ensuring case notes are tracked on the computer systems at all times.
The Countess of Chester Hospital NHS Foundation Trust consists of a 600 bedded large District General Hospital, which provides its services on the Countess of Chester Health Park, and a 64 bedded Intermediate Care Service at Ellesmere Port Hospital.
