Office Coordinator
The **Office Coordinator** will be responsible providing support to the on-site management team and managing the daily duties of the administrative team. You will be required to ensure that all business processes are delivered on time and to a high standard, ensuring that all company policies and procedures are adhered too, the role will also require interaction with the site-based team and client on a regular basis.The role also requires you to ensure the compliance of planned and reactive jobs are completed and closed out in a timely manner ensuring, purchase orders, certifications and or mitigations are addressed in the system. The individual will manage the delivery of the electronic timesheet system, to ensure accurate details are entered and reports are created for both client and AFP (Application for Payment) purposes. The individual will respond to Cemar Queries, raise early warnings and general communications as required working to CCS Framework.
**Responsibilities
- **Support in the raising and processing of planned maintenance and reactive works in the Maximo system ensuring all compliance is adhered too. Support in the raising and processing supply chain purchase orders and related paperwork for all Service lines as required. Deal with supplier queries. Respond to Cemar queries on behalf of Mitie raising early warnings, compensation events and general communications. Collate and publish the KPI scores. Manage the E-Timesheet reports on a weekly basis. Carry out 'MiReviews' and manage sickness/annual leave. Deal with payroll queries. Control all credit card purchases/ review off site management costs being allocated to the site. General administration for the account to support the helpdesk/administrative Maintenance support and any other admin support as directed by the Site FM Manager.
