We are seeking to recruit an Office Assistant to join our Manchester office to provide administrative support.

**Purpose**

The main purpose of this role is to provide a vital administrative support function to the Insurance Litigation team and providing additional assistance to the Tax / Accounting team and who will be responsible for a variety of tasks to ensure the smooth daily operation of these rapidly growing departments. Working as part of a close-knit and mutually supportive team.

**Key Responsibilities**

Administration responsibilities:

- Record and acknowledge all new cases on CMS systems in line with our SLAs.
- Spreadsheeting work as required by file handlers.
- Chasing outstanding information relevant to cases being worked on in line with out SLAs.
- Any other administrative work as required.
- Keeping track of archive list/listing files to be destroyed.

Client engagement:

- Record, track and chase new queries.
- Prepare all engagement packs.
- Engagement pack training, chasers and reviewing returned engagements.

Invoicing:

- Raising and sending out invoices.
- Alerting team to clients on debtors list who we are still actively working for.

Client work/contact:

- Answering main office phone and redirecting to team members and taking messages.
- Sending out tax returns & accounts for client review and approval.
- Tax return progress tracking.

General office administration:

- Monitoring post.
- General folder administration.
- Stationary orders for Manchester office.

**Person Specification**

**Experience**:

- A good understanding of Microsoft packages including Word, Excel and Outlook products.
- Previous administrative experience.

Skills & abilities:

- Excellent telephone manner.
- Great organisational and prioritisation skills.
- Strong communication skills.
- Detailed planning and time management skills.
- Decisive, show initiative and problem-solving skills.
- Punctual, organised, professional and reliable.

Education & training:

- Excellent written and verbal communication and numeracy skills.

**General Responsibilities**
