**Main Purpose of Role**

**Key Accountabilities**
- Responsible for Service Department Administrative works such as engineers time sheets and ensuring all legislative documentation is filed correctly and up to date.
- Scheduling service, warranty works. Filling out engineers pre-site reports and uploading reports onto system once site visits complete and forwarding reports to clients.
- Ensuring engineers site diaries are complete, putting together RAMs / Documents.
- Assisting Spares department when required with quotations and enquires.
- Managing engineers transport such as servicing and hiring/off hire vans.
- Ensuring engineers training matrix is up to date. Working with H&S officer and service manager to book in engineers training when required.
- Raise and schedule jobs.
- Invoicing of completed works.
- Raise purchase orders.
- Manging / ordering parts required for engineers site visits including booking of delivering of spares to site.
- Ensuring all engineers equipment is safe to be in service.
- Ensuing all engineers have the correct PPE and being used as directed.

**Skills, Knowledge and Experience**
**Essential Criteria**
- Proven history of working in the HVAC / FCU or FM industry
- Strong administrative skills, including filing, preparing documents, receipting, and record-keeping.
- Previous role held Service Coordinator/Helpdesk or similar
- Highly proficient in IT systems, Word, Excel, PowerPoint, Outlook
- Excellent presentation and communication skills (written and oral)
- Attention to detail - Thorough in carrying out a task, with a high degree of accuracy.

**Desirable Criteria**
- Previous experience with SAP
- Previous experience with a HVAC / FCU Industry
- IOSH
- SMSTS / SSTS
- FM Qualifications

**Travel**
The role may require rare travel within central London and surrounding counties.
