The Primary Care Services Directorate is looking for a number of dynamic and highly motivated administrators to join the admin teams to support the day to day running of the RWT PCN practices.

The post holder(s) must be flexible, a good team player with a positive attitude, have an empathetic manner, excellent communication skills, organisational aptitude, ability to work under pressure and a good understanding of basic IT packages. Attention to detail is expected at all times. Previous reception experience/office based role is essential. The post holder(s) may at times be required to work at different sites to meet the demands of the service.

Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

Undertake a variety of administrative duties to assist in the smooth running of the Practice including the provision of administrative support to clinical staff and other members of the Practice team

Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

To provide a comprehensive reception and administrative support to the practice e.g., specific responsibilities within the practice clinical systems and some personnel administration

To enthusiastically support the Practice team in developing systems of improvement and new innovations

The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Practice Manager/Assistant Practice Manager or Supervisors, dependent on current and evolving practice workload and staffing levels:
To ensure business continuity there is a requirement to be flexible to support work across the practices within the PCN.

Opening up/locking-up of practice premises and maintaining security in accordance with Practice protocols

Utilising the Care Navigation tool to process requests on behalf of patients and navigate requests to each appropriate clinician

To be able to rapidly answer calls whilst maintaining high standards of care navigation and call quality

Processing online and telephone requests to include taking and managing home visit requests

Keeping updated on all local services for patients to be able to give up to date information and to be seeking out services to support navigation

Giving out pathology/radiology results to patients as well as contacting patients from tasks and documenting the interaction within the clinical notes

Monitoring the practice appointments system for access for patients utilising all staff available as well as other services and extended access

Processing and distributing incoming (and outgoing) mail

Taking messages in the appropriate electronic format and passing on information

Filing and retrieving paperwork

Processing repeat and acute prescriptions in accordance with practice guidelines

Processing new patient registrations in accordance with practice policy

Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures

Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers

Processing of pathology results and recalls, photocopying and scanning

Directing any complaints to the appropriate person in accordance with practice policy
