**Monday - Friday, 8.00am - 5.00pm**

Established in 1997, Phoenix Compliancy Management (PCM) deliver gas contract management and quality assurance services within the social housing sector as well as mechanical and electrical consultancy. After building the business from scratch, they areproud that they now have a fully established facility with over 60 employees, working as a team to provide statutory requirement assurance to their clients for Health and Safety compliance.

We are now looking for an **Office Manager** to coordinate the day-to-day facilities/office management & ICT/Telephony administration.

**As an Office Manager, you'll need to**:

- Supervise, manage, direct and monitor the operational support team.
- Carry out staff appraisals, manage performance, setting goals and manage discipline.
- Develop the team by providing training and support to maximise their skill sets.
- Ensure cross training for all responsibilities of operational support staff.
- Prioritise the operational staff workload where necessary, ensuring targets and deadlines are met.
- Ensure written guides and procedures are created and maintained for all operational support work activities.
- Ensure the operational support team maintain good communication with all other staff.
- Undertake spot checks/quality control of operational support work to ensure accuracy.
- Manage online and paper filing systems including GDPR requirements.
- Develop and implement new administrative systems.
- Oversee the recruitment of new ops support staff, including training and induction and ensure adequate staff levels to cover for absences, holidays and peaks in workload.
- Delegate work to staff and manage their workload and review output
- Write reports for senior management and deliver presentations.
- Respond to customer enquiries and complaints, keeping a log on file.
- Review and update health and safety policies and ensure they're observed.
- Check that data protection laws are being adhered to in relation to the storage of data, and review and update policies.
- Regularly monitoring and chasing client debt on various work types and contracts.
- Arrange travel and accommodation when requested.
- Take minutes of client/company meetings.
- Answering resident calls to book appointments/resident satisfaction surveys.

**About you**:
The ideal Office Manager will have:

- Excellent organisational and time-management skills.
- Demonstrable experience of Microsoft Office Suite and other commonly-used office packages.
- Strong IT and typing skills.
- Good team working skills and the confidence to lead and motivate a team.
- The ability to manage your workload, work to deadlines and supervise others concurrently.
- Excellent interpersonal, oral and written communication skills, with the ability to converse at senior and Board level.
- Negotiation and relationship-building skills.
- Attention to detail.
- Flexibility and adaptability to changing workloads and a problem-solving approach to work.
- A familiarity with legislation in the areas of employment, equality and diversity, and data protection - **this is useful, but not essential.**:

- Good understanding of office dynamics.
- High degree of integrity and honesty and a positive approach.

**Hours**

Your working hours will be from 8am to 5pm, Monday to Friday. However, you will be expected to work as and when necessary to meet the needs of the team and your targets.
