**Role Overview**

As a HR & Payroll Administrator, you are involved in a variety of HR areas including HRIS, Payroll and general admin. You are responsible for the data integrity of the HR/Payroll system and ensure that payroll, reporting, and integrations/feeds are accurateand consistent. You also collaborate with the Talent Advisors, Talent Acquisition Specialists and our HRIS specialists in the US to maintain the integrity of the HR technology landscape, focusing on UKG (UltiPro), ICIMS, Active Directory, Spark, and Reflective.Here are the roles you’ll play:

- **The Tech Expert**_
- Confirm accuracy and integrity of all data entered and maintained in HRIS and databases; ensure information is available on a timely basis
- Perform group data audits and clean-ups
- Set up new associates and process all associate changes in UKG (UltiPro)
- Deliver routine reporting and respond to immediate data requests
- Develop standard and specialized reports to support company needs
- Maintain UltiPro HRIS, ensuring data integrity
- Research and report on any data discrepancies
- Perform scheduled activities, reports, and audits
- **The Integrator**_
- Train new system users in UKG (UltiPro); identify opportunities to re-train or communicate processes that facilitate efficiencies and improve data integrity and user acceptance
- Develop user procedures, guidelines, and documentation
- Respond to inquiries, complaints, or problems
- Serve as liaison with third parties and other stakeholders (e.g. payroll, benefits, compensation)
- Manage the onboarding process for new hires
- Coordinate any special allowances or payments for new hires with the payroll team
- **The Tracker**_
- Maintain payroll and related records, recording the accumulation and use of vacation, holidays, sick days, and leaves of absence in UltiPro
- Assist with Human Resources administration workflow covering onboarding, set up, probations, annual processes, training and offboarding
- Handle payroll and tax issues through UltiPro
- Own all aspects of leave administration including benefits eligibility, capturing premiums, compliance with legislation, and entering appropriate updates in UltiPro
- Handle compliance of welfare and pension regulations, ensuring benefit procedures are well-documented
- Provide timely verifications of employment and all other payroll-related transactions
- Perform other HR-related duties or special projects as required
- Handle benefits administration updates and benefits enrolment changes in HRIS/Payroll while resolving outstanding issues and auditing reports to ensure accuracy
- Assist with onboarding and new hire orientation processes
- Communicate any payroll issues well ahead of time and escalate as needed
- Participate in special projects with staff as needed; collaborate with internal and external technical resources
- **The Organizer**_
- Organise associate onboarding, making sure managers submit forms in a timely manner for the new starter to be set up on time
- Check all recruitment documentation and ensure it meets compliance requirements
- Input information into our HR system, MediCash, Cardinus, StaffVetting and any other systems to ensure everything is up to date
- Submit and coordinate receipt of vetting and DBS checks through a 3rd party provider. Liaise with the Staff Vetting and new associate to get the checks completed as soon as possible
- Work with the managers to ensure RTW checks are completed and to required compliance standard
- Send out calendar invites for IT and Talent Inductions as well as for Probation Reviews
- Keep relevant trackers up to date and escalate issues to Talent Advisers as soon as they arise
- Coordinate the receipt of probation forms. Alert Talent Advisor when probation forms are not submitted on time.
- Confirm passed probations
- Coordinate associate’s attendance of the US training sessions and compliance training
- Ensure timely administration of contract extensions and terminations
- Remove leaver’s data from HR/Information platforms such as UKG, MediCash, Cardinus, StaffVetting and other

**Your Building Blocks of Success**
- Stellar 2+ years in technology support-related or human resources field or equivalent work; strong 2+ years of progressive experience working with UKG (UltiPro) preferred
- Solid 1+ years of applicable human resources experience; Bachelor’s degree in human resources or related field preferred
- Experience with managing HR software integration projects; involvement with medium to large-scale implementation projects
- Knowledge of database maintenance basic concepts
- Familiarity with principles, practices, and standards of human resources administration
- Proven critical thinking, project and time management, organization, and analytical skills
- Skill in performing accurate data entry and attention to detail
- Excellent verbal, written, and interpersonal skills; ability to maintain confidentiality
- Best-in-class customer service skills
- Expertise in analysing, troubleshooting, and resolving technical problems in UltiPro and/or Lever
- Expert-level experience with Microsoft Office Suite; familiarity with database and reporting tools (e.g. Access)
