We are currently recruiting for a temporary Events Administrator to support in the organising and running of the community events hosted by Broadstairs and St Peter’s Town Council. This will be a 12-month temporary contract.
**Who are we?**
Broadstairs & St. Peter’s Town Council has an expanding property portfolio, with facilities located at Broadstairs Bandstand, Pierremont Hall and Retort House. Included in these areas are; a sports hall, function room, meeting rooms and grounds available for hire. These venues host a busy schedule of events including community events, council meetings and private bookings.
**What are we looking for?**
Broadstairs & St. Peter’s Town Council is looking for an experienced individual to provide administrative skills and events knowledge to the events department whilst the Events & Bookings Manager is on maternity leave.
The post requires an individual to organise and follow a schedule of events throughout the year and ensure plans are followed. You will need to be comfortable juggling tasks and priorities.
Key points from the Job Descriptions:
- Act as the main point of contact for all enquiries relating to the community.
- Follow a schedule, that will be set out for you in the Event Management Plan for each event.
- Maintain an online booking diary.
- Work with the Civic & Support Officer on the delivery of effective marketing of the community events.
- Assist in the set up and close down of each community event, with support from the council staff.
- Ensuring that any specific requirements are met, including refreshments and audio and PA equipment.
- Ensure all events services are ready for events and furniture is in safe working conditions. This requires liaising with the Events Supervisor.
- Report any issues to the Events Supervisor in relation to the health and safety of the event areas and conduct on-site event checklists before every event.
- Regularly report to the Town Clerk on progress of scheduled works/events ensuring events are within budget requirements.
- Attend and report at the quarterly Events, Leisure and Tourism Committee meetings with the Civic & Support Officer.
- Any other duties appropriate to the post, agreed mutually between the post holder and the Events
**This list is not exhaustive and in addition to your normal duties you may be required to undertake other administrative duties as directed by the Town Clerk or Deputy Town Clerk.**
Role Requirements
- Proven experience working in an office environment
- Proven experience of working with members of the public
- Educated to GCSE level or equivalent at Grade C/level 4 or above, including Maths and English
- Organisational, prioritising and time management skills
- Passionate about providing a high-quality, highly organised experience
- A confident and natural communicator across all communication channels
- A decision maker, able to think on your feet.
- Flexible and have the ability to work at pace
- Team player
- Excellent IT skills, competent with Microsoft office
Desirable
- Experience working within the events and/or hospitality industry
- Understanding of health and safety issues at events, including management of contractors, fire safety, security systems.
- Relevant qualifications
The role requires a full Application Form and Cover Letter to be sent in by the deadline date to be shortlisted.
The successful applicate will go through the Right to Work process and a full Standard DBS check. The applicant should also have a clean, current, and valid driving license. As duties will at times stretch across the whole town.
