On behalf of Nuclear Waste Services, we are looking for a Facilites Management Assistant (Inside IR35) for a 12-month contract-based hybrid Harwell.
Nuclear Waste Services brings together the UK’s leading nuclear waste management capabilities.
We have integrated the expertise of Low Level Waste Repository (LLWR), Radioactive Waste Management (RWM), and the Nuclear Decommissioning Authority (NDA) group’s Integrated Waste Management Programme (IWMP). This creates an organisation focused on the management of the UK’s nuclear waste, safely and securely for generations to come.We are part of the NDA group, which is undertaking the biggest clean-up project in Europe over many decades. Nuclear Waste Services is integral to this environmental clean-up mission, as we work to provide permanent answers to our country’s nuclear waste. The UK has been producing and managing radioactive waste on an industrial scale since the 1940s. However, today’s approach and capabilities for waste management need to adapt to keep pace with NDA’s decommissioning ambitions. This includes its commitment to recycle 50% of waste from decommissioning and reduce secondary wastes by around 70% by 2030.
As a Facilities Management Assistant, your main responsibilities will be:

- Provide a coordinated FM service for NWS buildings and support office activities for visitors and Events
- To provide administrative and facilities support to the team prioritising work as necessary.
- Externally will deal with guests, visitors, service providers, contractors, and sub-contractors to coordinate site visits and meetings.
- To raise ad-hoc purchase requisitions on behalf of the team for appropriate approval.
- Participate in daily quality control checks for NWS buildings.
- To maintain office attendance records for NWS building and distribute to those who require.
- Managing RCL engineers via the contract review process
- Maintain the Facilities Management web page, supporting and updating where required.
- Ensure production of documents (for both internal and external circulation) are in line with NDA quality standards and corporate branding.
- Ensure all documents are recorded/handled in line with NDA security and information management guidelines (including adherence to FOI regulations).
- Liaise with NDA on behalf of the FM Manager when required or in their absence.
- Maintain the SharePoint FM filing system keeping records up to date and in order.
- Support the FM Manager with monthly contract review Agendas and Minute taking.
- Support the FM Manager with audit documentation collation, reaching out to stakeholders in the business for information in a timely manner
- Supporting the Front of House Team in the event of absences/leave.
- Co-ordinate appointments, activities for FM Manager if required.
- Close liaison and interaction with all levels within the respective team and organisation.

**Support the following activities for NWS**:

- The booking and preparation of meeting rooms
- The control of office cleaning and quality standards, the provision of toilets and
- showers facilities and carry out audits where required.
- The provision of catering facilities for designated building
- The management and sorting of Post and Parcel deliveries within NWS procedures
- The booking of couriers and taxis and provide advice to staff and visitors on
- options and costs.
- Order and maintain stock in relation to facilities management provision, raising purchase orders and following through to completion.
- Managing information in SharePoint, uploading documents, maintaining current documents, highlighting changes.
- Set up vendors through NWS systems where required
- Carry out other tasks deemed reasonable and as directed by management to perform the role.
- Staff will be expected to support and implement corporate decisions and initiatives as instructed by their Line Manager.

**Essential**:

- Good oral communication and written skills, together with a considerable level of ICT skills including MS Word, Excel, PowerPoint
- and Outlook.
- Good organisational skills, attention to detail and accuracy together with good numerical skills.
- Ideally you will hold previous experience within a similar role
- Outstanding customer service skills
