The Role

A fantastic opportunity has arisen for an experienced Purchasing Coordinator to join our

team on a part-time or zero-hour basis to provide general assistance in the day to day

running of the Purchasing Department, being flexible to work in Stores, Receiving or Cellar as

and when required.

Under the general guidance of the Director of Finance, the Purchasing Coordinator responsibilities include, but not limited to, the following tasks and performances:

- To ensure that hotel expenses are minimized through the use of effective purchasing and by obtaining the most competitive prices for goods and services;
- To keep inventories as low as possible to properly supply the operation's needs and maximize inventory turnover and space utilization - effective control of Food and Beverage resources;
- To advise the Director of Finance of unusual or remarkable cost of purchasing and consumption of inventory and non-inventory items. Recommends practices to reduce such cost including alternative sources for products;
- To assist and coordinate all product and purchase specifications from the various heads of department by means of a purchase request (PR) and maintain files of these purchase request together with purchase orders (PO);
- To ensure that every department in the hotel receives goods and services as required and to the standards they have specified at the best possible price;
- To meet with suppliers, representatives and to obtain information, specifications and quotations on any item required. Locate vendors of materials, equipment or supplies and interview them in order to determine product availability and terms of sales, and invite them for tendering;
- To handle all correspondence, negotiation and procurement to the best advantage of the hotel;
- To resolve vendor or contractor grievances, and claims against suppliers;
- To prepare and process requisitions and purchase orders for supplies and equipment;
- To be responsible for Economato Web, i.e. data inputting, reporting and month end tasks.
- Have proven experience in a similar role.
- Have financial awareness, numerical and analytical skills.
- Be fluent in written and spoken English. Italian language proficiency will be considered advantageous.
- Be flexible and reliable.
- Be passionate and self-motivate.
