Future has an exciting opportunity available for an **Operational Support Administrator**, to work 25 hours across the week, from Monday to Friday reporting into the Operations Support Manager.
- Possess a confident and professional manner with strong communication skills
- Ability to handle telephone calls proficiently communicating at all levels using initiative to solve problems
- Be self-motivated, flexible and an effective team player
- Have previous experience (ideally at least 1 - 2 years) in a similar job role.
- Good working knowledge of using Word, Excel & Outlook
**The Role - Key Responsibilities**
- Manage high volumes of data accurately and efficiently
- Ensuring financial information and spreadsheets are up to date, completing reports on a timely basis
- Welcome and greet all visitors onto site ensuring all H&S/signing in and out procedures are adhered to
**-**Answer all incoming calls and direct through the correct recipient in a courteous and professional manner
- Co-ordinate and prepare rooms for meetings including organising the catering & refreshments
- General duties including ordering stationary & office supplies, filing and booking hotels for guests
Responsibility of internal purchase ordering system, raising purchase orders, coding & supplier invoices
Opening & distributing post, arranging postal collections
End of month reporting
Other duties
- Assist the Transport Manager with diary management, planning & bookings
- Raise quotes, regulatory paperwork and invoices in a timely manner
- Liaise with sales team, delivering a first-class service to customers
- Any other project work as required from time to time
You must be computer literate, have good attention to detail and have the ability to learn bespoke /in-house systems of work and have a strong understanding of Microsoft Word, Excel and Outlook. As the role can be fast paced and quite diverse, you must be able to work with minimum supervision, and be able to meet tight deadlines, have good communication and telephone skills with a positive attitude to help others in the teams.
