International Student Support Administrator

**Job Purpose**
This part time role is to provide administrative and secretarial support to assist in organising a wide variety of tasks and commitments attributable to the International Student Support Service.
**Main Duties and Responsibilities**
1. Responsible for the delivery of an efficient and effective administrative service to support the International Student Support Team.
2. Deliver an excellent customer experience, using knowledge and judgement to provide first contact resolution for general enquiries relating to each of the specific areas from both students and staff.
3. Organising in person and virtual spaces, including booking rooms and catering, arranging travel when necessary and booking speakers for information sessions.
4. Responsible for arranging purchases and liaising with suppliers and contractors for invoicing and payment via the Agresso finance system.
5. Ensure full compliance with University-wide policies and procedures, including in relation to the management of confidential information and personal data.
6. Provide support to steering groups and committees including notetaking and preparation of minutes as appropriate.
7. To proactively assist at an operational level with the organisation for the International Welcome Programmes run in September and January reminding the International Advisers of timelines to be achieved and requirements to be met, whilst also ensuring basic administrative procedures are in place.
9. Format digital resources for these student communication platforms.
10. Co-ordinating the collation of feedback and evaluation data.
11. Support the coordination and recruitment of temporary student staff such as the International Welcome Team.
12. Maintaining good working relationships and working closely with Student Life and Engagement team members.
13. Undertake any other relevant duties appropriate to the post/grade subsequently allocated by the Line Manager.

**Essential**
A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent, and experience of personal development in a similar role.
A2 Strong IT knowledge, including Microsoft Office, especially MS Word and Excel.
A3 Experience and confidence in using Social media platforms.
**Desirable**
B1 Knowledge of University systems, eg PIP, CMIS, MyCampus, Moodle, T4 software training.
B2 Knowledge and understanding of Higher Education structures, policy, practices and procedures.
B3 Knowledge of International Visa regulations and requirements.
B4 Experience using digital mediums e.g. video software to create promotional content.

D1 Ability to support formal meetings, including preparation of papers, meeting organisation, note taking and communication of actions.

E1 Relevant administrative experience, with evidence of progression and development gained through work in a busy office environment.
**Desirable**
F1 Experience of working in a Higher Education setting.
**Terms and Conditions**
Salary will be Grade 4, £23,581 - £26,038 per annum pro rata.
This post is part-time (17.5 hours per week, Mon-Fri 9-12:30), and open ended.
