**Job Description - Planning Coordinator**
For over 250 years, DMA Group has been supporting customers with the complexities of managing and maintaining buildings through our Hard and Soft FM, Integrated Managed Services, Construction Project Management and Energy & Sustainability solutions. Our customers include super-prime residences and developments, hotels & hospitality, schools & universities, public sector, commercial offices, industrial, health & social care, and retail.
**The Role**
An exciting opportunity has arisen with DMA Group for a Planning Coordinator to join our Operations Team, working from our office in Rochester.
**Responsibilities**
The Planning Coordinator provides first-line support for our company engineers and Service Partners, with whom they engage daily and form a strong bond. They manage the scheduling of planned and reactive maintenance and liaises with the customer to keep them informed. The Planning Coordinator is an integral part of the Operations team, which aims to deliver our services to the customer on time, every time.
Responsibilities will include but may not be limited to:
- Planning of jobs.
- Operate the pre-qualification process on BiO® and onboarding of Service Partners.
- Engineer utilisation and travel - diary management and travel logistics.
- Coordination with the rest of the Operations team to ensure we meet Customer SLA.
- Manage the compliant status of all assets serviced.
- Keep the customer informed on all changes and re-scheduling.
- Approval of Recommendations submitted to the customer.
- Purchase orders and billing of work.
- Administration of the Engineers - e.g. accidents & incidents, timesheet approval, vans,
equipment and tools, time off approval, absence recording.
**Qualifications and Experience**
- A background in resource planning or logistics would be advantageous.
- Minimum 3 years experience in the facilities/maintenance or related sector
- GCSE Math and English grades A-C (4-9)
**Skills**
- Strong customer care skills and excellent attention to detail.
- Ability to work to deadlines.
- Strong communication skills.
- Ability to multi-task and prioritise workload.
**Schedule**
Planning Coordinators will work a rotating shift pattern of:
Week 1: 07:30 - 16:00
Week 2: 08:30 - 17:00
We operate a hybrid work model, whereby the Planning Coordinator will work from home Monday and Friday, and in the office Tuesday, Wednesday and Thursday.
**Remuneration and Benefits**
We are happy to offer an attractive base salary plus overtime pay. We would also provide a mobile phone, laptop (if required) and any necessary uniform.
As a DMA employee, the Planning Coordinator will also benefit from 25 days annual leave (plus public holidays), company pension, death in service benefit and 'Smart Health' service.
