The Shropshire and Telford & Wrekin Staff Psychological Wellbeing Hub is a safe and confidential space for NHS and Social care staff to access psychological and emotional wellbeing support. We offer person centred assessment appointments followed by access to evidence based intervention or support with signposting to neighbouring services.

Here in the Hub we are a small multidisciplinary team consisting of the following:

- A CBT Therapist.
- A Psychological Wellbeing Practitioner.
- An Occupational Therapist.
- A Counsellor.
- An Assistant Psychologist.
- A Business Support officer
- An Administrator.

We also have a Psychotherapist, a Counsellor and a small team of Psychologists working for us on an ad hoc basis.

**Main duties of the job include**:

- To act as central point of reference; screen calls and take messages/action where appropriate.
- When necessary to be the first line of contact for service users, but clinical confidentiality must be maintained at all times.
- To collect data, collate and provide relevant and necessary reports from clinical system to Operational and Clinical Leads and other Hub staff as necessary in order to support service in providing accurate data for reporting purposes.

**Main duties and responsibilities**:

- To provide reception service for visitors to Department if/when needed.
- To act as point of reference, screen calls and take messages/action where appropriate.
- When necessary be the first line of contact for service users, but clinical confidentiality must be maintained at all times.
- Liaison with Trust staff, other NHS, Local Government staff as necessary.
- Ordering/maintaining stationery supplies, forms and client handouts; order and process supplies and services using E-Procurement.
- Dealing with incoming and outgoing mail and maintaining stamp book.
- Auditing and maintaining petty cash balance, checking eligibility and reimbursement of service user travelling expenses, payment of Service User Representative expenses, and adhere to standing financial instructions in enacting these tasks.
- Reconciliation of annual leave and e-pay (sickness absence, roster) in conjunction with Payroll department and Operational Lead.

**Systems and equipment**:

- Responsible for producing high quality, accurate and prompt text using word processing and desk top publishing skills; to include letters, reports, statistics and general correspondence appertaining to Department activity.
- When appropriate, compose routine self-generated correspondence and edit team correspondence.
- Update and maintain databases.

**Communications & Relationships**:

- A vital part of the role.
- Responsible for maintaining good telephone relationships, dealing sympathetically, skilfully and professionally with all callers.
- Be conscious of the content of Data Protection legislation when dealing with enquiries.
- Maintain administrative systems regarding Staff, eg; leave registers, and clinical work, including referrals to the service, keeping adequate records, booking case-notes in and out of department.
- Provide cover/support to other members of administration team when workload is high or a team member is absent.
- Adhere to Trust Standing Orders and agreed written procedures/standards.
- Always adhere to Trust Policies and Procedures and relevant legislation regarding data protection when using computers, etc.
- To be aware of one's own responsibilities with regard to the Health and Safety at Work act as outlined in the Trust's Health & Safety Policy.
