tbf Traffic are seeking an Administrator for a period of maternity cover, expected start date in April 2025 for an initial 12 month period with possibility of becoming permanent.
Primarily office based in Needham Market, supporting other depots from our central office location.
The role is responsible for enhancing the operational unit efficiency by providing professional administrative support. The role will support the day to day running and arrangements, recording and planning of various operational and administrative activities.
The role will also work with other administrative staff in co-ordinating clients and being the point of contact for select clients. As well as supporting the accounts team with timesheets and wage calculations, invoicing and basic accounts.
The role is multi-functional with all responsibilities spread across the administration team.
Core responsibilities - Operational
- Work with other administrative staff in coordinating clients
- Assist with day to day enquiries
- Filing; accurate and securely as per company process
- Maintains customer confidence by keeping information confidential as appropriate.
- Control of training folder and update of training matrix when necessary
- Supporting the management team day to day with administrative tasks
- Assist with the weekly payroll information including collection, verification and data input of timesheet information sent from all depots. Making sure to record any sickness absence accurately
- Strong communication with HR and accounts relating to all types of absence, annual leave and costs associated.
- Be able and willing to cover reactive client contracts around other teams members lunchbreaks and working hours where required
- Data input into excel spreadsheets and industry-based software
- Reconciliation of petty cash expenditure monthly and report to accounts
- Data input for daily vehicle checks with appropriate communication internally
Working relationships
- Reports to the Administration Supervisor
- Works with tbf management team
- Works with tbf Accounts as required
- Works with all bts and tbf business support functions, such as HR and IT as required
- Liaises with staff at all levels within the company
- Liaises with any external companies and bodies as appropriate to support business
operations
Essential Criteria
- Administrative experience within an office based environment
- Process orientated, with experience in maintaining and supporting the implementation of new processes
- High attention to detail
- Experience of confidently and professionally dealing with internal and external customers
- Excellent written and oral command of the English language
- Excellent time management skills
- Ability to work as part of a team and using own initiative
- PC literate including excel, word, power-point and outlook
**Job Types**: Full-time, Fixed term contract
Contract length: 12 months
Pay: From £12.80 per hour
Expected hours: No less than 40 per week
