Bidding Producer

The VFX Bidding Producer (BP) at Union is a key role in the successful winning and delivery of our film and episodic projects. They will have an in-depth understanding of client requirements and the ability to coordinate and oversee multiple bidding projects. They will have a strong sense of visual aesthetics and a good understanding of the full workflow, processes and techniques for visual effects. They will have excellent commercial awareness and strong communication, planning and organisational skills.

Working in a fast-paced environment the VFX Bidding Producer will work closely with our SOM, Producers and Supervisors in the review, planning and execution of bids/quotes for both prospective and current projects, and delivering weekly progress reports for clients on our in-house projects.

The BP will work closely with the SOM, Producers and Supervisors to track and prioritise all new bid requests. Working across multiple projects the BP will analyse scripts, VFX breakdowns and other materials to provide competitive bids to our clients using our in-house templates on Filemaker. They will work closely with the SOM and JDA to review, create and maintain bid and standard rate-card templates. Once projects are in-house the BP will work closely with the Producers and Supervisors to update any bids in line with any changes or additional work awarded.

The BP will review bids vs actuals and create reports as required by the Production team including weekly progress reports for each project. They’ll provide updates on project status and requirements to the Production team in weekly meetings.

The BP will be responsible for updating and maintaining our client database and liaising with clients as needed. They’ll work closely with the SOM to ensure any bidding requirements work coherently with other project requirements and schedules and that bids are effectively resourced and delivered to client deadlines.

Excellent verbal and written communication and team working abilities are essential along with strong organisational skills, meticulous attention to detail and a thorough approach to systems, processes and organising. The BP will be able to multitask, have a creative approach to problem-solving and adapt to changing priorities and situations, always remaining calm and professional.

They must be technically savvy, analytical, able to take a brief and run with it, be able to generate ideas and have a background in film and TV visual effects.

**Responsibilities**:

- Track all bid requirements; both new and current in-house projects
- Review and creatively assess all client materials and create shot lists
- Create competitive and clear bid documents
- Liaise with VFX supervisors and HOD’s on creative and technical approaches and methodologies as needed
- Flag any approach that may require further technology development or specialised disciplines
- Liaise directly with clients as needed
- Attend client meetings and note creative requirements for input in to bid
- Prepare financials on all bids
- Liaise with SOM to understand current and future studio capacity and talent capabilities to effectively create bids
- Work with SOM to prioritise bidding requirements and identify appropriate teams to action bidding
- Work with the JDA to review, create and maintain bid, reporting and standard rate-card templates
- Update new bid templates with changes or new requirements
- Update in-house project bids with new work or changes
- Export bids once finalled
- Track and liaise with teams to ensure bidding/quoting projects are, and remain, on track - flag any issues with SOM
- Manage the archiving of bids/quotes, ensuring docs are named and filed accurately
- Keep all stakeholders updated on progress & requirements
- Ensure clear and effective handover of awarded shows to assigned project Producer
- Create Production reports and weekly client progress reports - using Union templates or adapting for client templates
- Update Production team at weekly meetings on bid & shot progress reports
- Update and maintain client contact list
- Review bids vs actuals on each project with key stakeholders
- Regularly review systems & workflows and suggest/implement improvements
- Determine best practice for bidding and create/maintain Bidding ‘bible’

**Qualifications**:

- Previous experience in providing detailed and accurate bids for features and episodic
- Highly motivated working within a fast-paced environment
- High level knowledge of data storage systems ie Filemaker
- High-level knowledge of Excel and Word
- Extensive knowledge of the VFX workflow
- Strong commercial and financial knowledge & understanding
