**About The Role**:
**Salisbury Group has a great opportunity for a Account Co-**Ordinator** to join our team.**
This role will be based full time at our client site in Brentwood, Essex with a remit nationally to provide comprehensive administrative support and coordination to meet the requirements of the contract, ensuring consistent and proactive support to the IFM operation.
This role will work closely with the Account Support Manager but requires someone with the ability to work under mínimal direction, a good communicator and someone with a flexible approach.
**Principle Duties and Responsibilities**
- Coordinate the work flow for all client and internal requested, to ensure effective completion of work in accordance with SLAs.
- Liaise with customers and operational delivery teams to arrange all sub-contractor reactive maintenance visits and manage end to end.
- Liaise with customers and operational delivery teams to arrange all sub-contractor service visits as per the PPM regime.
- Maintain CAFM logs, ensuring accurate information is obtained and entered to demonstrate progress to the client, providing an internal audit trail.
- Obtain and upload all relevant Sub-Contractor compliance documentation and PPM paperwork against work orders and ensure the CAFM system is populated with 'in date' service record/sheets.
- Review Sub-Contractor service records/sheets and raise 'follow on' work orders where required, assigning to the correct resource and priority.
- Management of all chargeable Minor work requests including purchasing operations.
- Validate and receipt associated invoices against committed costs, in order to assist with budgetary control, escalating and resolving issues quickly.
- Ensure all costs associated with work delivery are captured and entered into the CAFM systems.
- Run and issue regular performance reports to internal team to include but not limited to PPM, Reactive and Follow on work actions
- Support operational delivery team and work closely with the central scheduling team to ensure all works are managed and allocated to the appropriate party.
- Ensure all deliveries are scheduled and all documentations (goods receipts) are filed appropriately.
- Utilise the CAFM quotation module, liaising with the operations/delivery teams, in order to build estimates/quotations, issuing to the relevant party and managing approvals.
- Raising and issuing purchase orders in line with internal governance process, updating CAFM work logs and filing all purchase orders against work orders as per company procedures.
- Validate and receipt associated invoices against committed costs, in order to assist with budgetary control, escalating and resolving issues quickly.
- Support with on-site management and co-ordination of of contractors at Brentwood to include induction.
- Maintain compliance folders to a good standard and ensure all paperwork is 'in date' at Brentwood.
- Support general facilities upkeep on the Brentwood site where required.
- Comply with all relevant Health & Safety Rules and regulations;
- Place order for stock as required including cleaner supplies.
- Load, move and approve cleaners hours monthly as required.
- Deputise for the Account Support Manager where required.
- Carry out and assist with other administration or reasonable tasks related to the contract as directed by your line manager or the account manager.
**About You**:
**Minimum Qualifications, Certifications and Training required**
- GCSE in English and Maths or Equivalent
**Knowledge, Skills and Experience for this role**
- Good IT skills including Microsoft office.
- Excellent telephone & communication skills.
- Previous experience in an operational admin role.
- Excellent Customer Services Skills.
- Aptitude and willingness to undertake further business training.
