In the summer of 2014, the ground floor of the Crayford Town Hall was transformed into Crayford Town Surgery. It currently has a practice list of 10,500 patients living in the surrounding catchment area. The surgery consists of 24 Clinical and Non clinical staff and houses a team of specialist multi professionals. Crayford Town surgery is an active member of the community and strives to provide our patients with a safe and quality medical pathway.

We are a supportive team who value our staff and promote their wellbeing. We have a network of approachable reception and admin staff who are ready to train and support our new BA apprentice.

**Business Administration Apprentice**

This role is to help and assist the non-clinical workforce in the practice. Every day we have 1000’s of 3rd party medical documents coming into the surgery which require coding and to be added to the patient medical journal. The post holder will need to be vigilant and work in a team but also be able to manage your time independently. You will be asked to liaise with patients and possibly secondary care so telephone etiquette is required.

Attention to detail is paramount and you will need to be organised and efficient. Training will be provided in this role but a basic IT knowledge will be required. The role demands a positive attitude along with empathy, understanding and persistence however the most important requirement will be to respect and uphold strict confidentiality

**Working week**

Monday to Friday. 37.5 hours per week.

**Expected duration**

24 Months (Permanent contract considered on completion of apprenticeship)

**What will the apprentice be doing?**

The list below provides an indication of the areas which the apprentice may get involved to ensure that they have the opportunity to learn and develop in line with the business administration L3 apprentice framework:
Ø To help manage 3rd party medical documents coming into the surgery by coding relevant information and inputting onto patient records

Ø Highlight clinician actions and workflow to appropriate clinician/team as per practice flowchart

Ø Work with the team to review administrative processes

Ø To work within IT systems and software as used by the practice

Ø Handle confidential material in a sensitive and discrete fashion in compliance with information governance policy

Ø Undertake a wide range of administrative and secretarial duties which include ensuring all information is managed correctly, filed and followed up accordingly

Ø Minute taking for internal and external meetings

Ø Manage room bookings for training courses and other events

Ø Providing administration support to specific team members to facilitate dedicated workstreams

Ø Maintain spreadsheets for named workstreams

Ø Ensure high quality customer service

Ø Provide administration support to projects across the practice

Ø Contribute to and share in the team as an activity involved team member

Ø Ensure that health and safety are observed at all times

Ø Recognise the variable nature of workloads and deadlines and respond when short notice demands team working to achieve goals

Ø Undertake a variety of duties to assist the team

Ø Any other duties as reasonably required

**What training will the apprentice take and what qualification will the apprentice get at the end?**
- Business Admin level 3 Apprenticeship with Clinical Coding Embedded -Standard Training in the workplace provided by PMA Ltd.
- All mandatory GP Practice training with be provided in-house
- In-house Receptionist training.
- You will achieve a Level 3 Business Administration qualification and a competency certificate in Clinical Coding upon successful completion of the apprenticeship.

**What is the expected career progression after this apprenticeship?**
- View to offering a permanent position at the end of the apprenticeship.

Organised and enjoys working under pressure on different tasks to varying deadlines

Able to communicate confidently and accurately in person, by phone and in writing with a wide range of people, projecting a friendly and professional

**Qualifications**

Good levels of literacy and numeracy evidenced by GCSEs (or equivalent) in Maths and English at grade 4/ C or higher (Essential)

Excellent school record with a good academic performance (5 GCSEs at grade 4/ C or higher) and exemplary school reports/ reference (Desirable)

Pay: £11.44 per hour

Expected hours: 37.5 per week
