We are looking for a highly organized individual who is able to prioritise a busy workload in a demanding environment and perform well under pressure.

This is a challenging Full Time role, 37.5 hours per week which requires excellent organizational skills with a proactive, collaborative and flexible approach and the ability to liaise with members of staff at all levels.

This role is an excellent opportunity to develop your administration and coordinator skills. Previous experience in a secretarial or administrative role in a medical or clinical setting is required.

Set up rotas on CLW (anaesthetic e-rostering live system) and roster Consultant Anaesthetists to uncovered theatre lists according to appropriate skill mix. Currently theatre lists take place at Guy’s Hospital, St. Thomas’ Hospital, London Bridge Hospital, Cancer Centre and Queen Mary’s Hospital at Sidcup

Manage On Call rotas - general, cardiac, obstetrics at GSTT and at London Bridge Hospital

Act as the link person between theatres and the department when anaesthetists are required to change theatres

Provide excellent administrative support within the service, including cross cover for administrative team members as required for short periods of time

The Theatres, Anaesthetics and Perioperative Medicine directorate is one of the largest clinical support directorates in GSTT and provides anaesthetic and allied staff support to the theatres across Guy’s and St. Thomas’ Hospital sites. With 39 operating theatres in the main and day surgery adult complex, as well as additional theatre and infrastructure in satellite sites (maternity, eyes, dental, Cath labs) which benchmark nationally as some of the most highly productive theatres in England. We support both the elective and emergency work streams and provide anaesthetic cover to both hospital sites for emergency work.

The department has a staffing establishment of c.900 with one of the largest medical and nursing workforce groups within the trust.

The directorate is anticipated to grow significantly with plans for workforce development and design and opportunities to further improve our theatre estate and utilisation and build additional capacity.

Main Duties
- Set up rotas on CLW (anaesthetic e-rostering live system) and roster Consultant Anaesthetists to uncovered theatre lists according to appropriate skill mix. Currently theatre lists take place at Guy’s Hospital, St. Thomas’ Hospital, London Bridge Hospital, Cancer Centre and Queen Mary’s Hospital at Sidcup
- Make necessary alterations to daily rotas according to sickness and other unplanned absences, being aware of appropriate skill mix
- Deal with K2 requests for additional theatre sessions / reinstatements / cancellations or change of specialty
- Once rota is published, advise Anaesthetists of changes to their rota
- Ensure all gaps on the rota are covered at daily close of play
- Manage annual, study, professional and any other forms of leave on CLW
- Manage On Call rotas - general, cardiac, obstetrics at GSTT and at London Bridge Hospital
- Act as the link person between theatres and the department when anaesthetists are required to change theatres
- Organise anaesthetic agency locum cover if required
- Complete Manpower returns with sickness leave/special leave/maternity/paternity leave
- Submit timesheets of all extra lists/extra hours worked by the anaesthetists to the Trust Bank system on a weekly basis
- Welcome new staff members and arrange their Induction tour
- Provide excellent administrative support within the service, including cross cover for administrative team members as required for short periods of time
- Provide advice and support to new or less experienced employees on own administrative duties
- Maintain departmental databases in a timely and accurate manner. Assist with the collation of data as required
- Provide excellent customer care to ensure timely, relevant advice and assistance to all GSTT service users
- Undertake any other reasonable duties necessary to ensure the smooth running of the service

GeneralOffice Management
- Receive and re-route telephone calls appropriately and provide assistance and advice, using initiative when dealing with queries and referring to senior / relevant staff as necessary
