National Records of Scotland (NRS) is the Scottish nation's record keeper and official source of demographic statistics - information about population, households, migration, vital events, life expectancy and electoral statistics and maintains the nation’s records archive as one of Scotland’s five National Collections.

We are looking for a Retransmissions Administrator to join our busy Government Records Team at NRS. Based within the Archive Depositor Liaison branch, we are responsible for selecting, cataloguing and making available the historical records of the Scottish Government, Scotland’s national public authorities and public inquiries. With around 150 organisations who deposit their historical records with us, the breadth of Scotland’s public life is represented within our holdings.

This role will provide a fascinating insight into Scotland’s public sector and assist in NRS’ organisational mission to
_ Preserve the Past, Record the Present and Inform the Future_.

Based within the Government Records Team, you will be working with a friendly team of five archivists and two government records administrators, under the Head of Government Records.

As Retransmissions Administrator, you will work to oversee the day to day running of our retransmissions service, where records are temporarily returned to the depositor, as well as support and deliver a range of administrative and archive-related activities.

**Responsibilities**:
**The key duties include a variety of the following**:

- Oversee the day to day running of the retransmissions and digital retransmissions service including monitoring requests, responding to clients, liaising with colleagues, ordering and preparing records for retransmission or digitisation, maintaining accurate paper and electronic audit trails of outgoing and incoming records, and preparing regular statistics for internal and external stakeholders.
- Oversee the Government Records mailbox, logging and assigning requests with the use of Excel.
- Undertake cataloguing of Government Records’ unlisted records backlog to improve access to NRS collections.
- Assist in the invigilation of records being consulted by depositors and researchers.
- Carry out searches of records in paper and microfilm format to assist with requests from depositors.

1. Good oral and written communication skills with experience of building constructive relationships with internal and external stakeholders, and of sharing knowledge and information with others who have varying levels of technical understanding.

2. Proven track record of working effectively as part of a team, identifying and raising issues with senior team members where necessary and working flexibly across the team where required.

3. Good planning and organisational skills with the ability to quickly adapt to changing circumstances and expectations and manage competing priorities.

4. Good knowledge of using Microsoft 365 software in your work and accurate data entry skills.

The post will offer some flexibility between office based and remote working depending on individual and business needs. It will be mainly based at NRS’ largest archive repository at Thomas Thomson House, Edinburgh.
