**Job summary**:
This role is for a Level 3 Business Administration Apprentice - Executive Assistant to support a Deputy Director and Team Leaders in the Joint Air Quality Unit (JAQU).
Air pollution is the largest environmental health risk in the UK and improving air quality is one of the top environmental priorities for Government. JAQU leads on the Nitrogen Dioxide (NO2) programme which was established in 2016 to address the UK’s most immediate air quality challenge - tackling roadside NO2 concentrations.
JAQU is a team of colleagues from Defra and the Department for Transport (DfT). The Programme has significantly grown in scope over the last few years and is part of the Government Major Projects Portfolio with a budget of over £880m. The JAQU team works with over 60 Local Authorities, National Highways, DVLA and other partners supporting local authorities with delivery and implementation of their local plans.
The Executive Assistant role is key to the effective running of the unit, supporting a Deputy Director with diary management and business administration. The role supports Team Leaders in the unit for diary scheduling (large workshops, team meetings etc) and leads on a number of admin support functions for the team.

This is a permanent position and as part of the role you’ll undertake a Business Administration Apprenticeship at Level 3. This is the academic equivalent of two ‘A’ Levels. We will enrol you onto the apprenticeship shortly after you join, and it will typically take 18 months to complete. On successful completion of the apprenticeship your employment will continue with us.
The majority of the Joint Air Quality Unit team are based from the Defra 2 Marsham Street office in London and staffed by both Defra and DfT members. The Programme comprises multiple workstreams and projects covering policy, science, evaluation, analytical, digital and commercial areas.
**Job description**:
You will work in a fast-paced and exciting environment where you will need to anticipate and resolve issues, prioritise competing demands and successfully support our Deputy Director so they are able to deliver their responsibilities. This will be by managing their busy diaries and providing administrative support.
You will foster great working relationships through working closely with teams in JAQU and beyond and senior colleagues. The role is fast paced, requiring diligence and an aptitude to resolve issues and prioritise competing demands to provide an excellent support function to the Deputy director and wider JAQU team.
Key responsibilities are:
- Managing Deputy Director meeting and diary requests; managing diary appointments and regular meetings, including with direct reports; collating meeting papers; arranging room bookings and visitor passes; providing forward look of meetings;
- Helping to manage the Deputy Director's inbox; delegating actions to team; flagging urgent/important issues; monitoring actions with longer deadlines and bringing to Deputy Director’s attention if required; providing summary of issues arising on Deputy Director’s non-working day;
- Communicating effectively with a wide range of internal and external stakeholders;
- General administration support, preparing briefing packs; arranging visits, including travel arrangements; coordinating advice on invitations; completing conference registrations and coordinating the preparation of slide packs; booking external venues and hospitality;
- Event and meeting support for JAQU G6s for larger meetings; events and workshops, including room bookings; agendas; distribution of papers; travel arrangements, booking conference places, travel and hotel accommodation;
- Providing organisational support and ensuring the smooth running of the Unit, including updating induction packs;
- Proactively working with colleagues across Defra and DfT to ensure the Deputy Directors are sufficiently sighted on issues arising; develop good working relationships with Defra and DfT colleagues;
