**JOB DESCRIPTION**
**ROLE**:Cafcass Administrator
**LOCATION**:Sefton
**RESPONSIBLE TO: Sian Monaghan/Hayley Fitzsimmons**
**Hours**:Tuesday-Friday 10am-6pm
Saturday - 9am-5pm
**Main Objective**
- **The smooth running of the CAFCASS service by ensuring high standards of administration duties.**
**General**
- Proactively take ownership in developing own knowledge to understand the context of the work of the company and associated risks, challenges and priorities
- Maintain at all times strict confidentiality of information relating to any sensitive information
- Communicate information effectively using the correct channels;
- Ensure familiarisation and adherence with Swan Family’s policies and procedures at all times
- Meet obligations in respect of Health and Safety, primarily not putting self and others at risk of harm
- Carry out responsibilities effectively, accurately, promptly and in a well-organised way
- Observe and work to the Swan Family’s Core Values
- Dispose of confidential paperwork appropriately using secure methods
- To uphold Swan Family’s core values, including treat all with respect. Swan Family operate as an anti-bullying organisation. Any abuse of this policy will be dealt with by disciplinary action, up to and including dismissal.
**Principal Duties**
- Working in partnership with Cafcass and Sub contractors
- Working with and liaising with families where necessary
- Identify and assign new referrals to the closest centre or sub-contractor
- Monitor due dates for reports and ensure they are submitted for approval in a timely manner
- Ensure data monitoring documents are updated and any issues identified are flagged with management
- Ensuring that all cases are allocated in a timely manner
- Work in partnership with other Swan Family Centres in regards to Cafcass cases
- Attending meetings with management and taking accurate minutes when necessary
- Monitoring KPI’s and updating the spreadsheet on a monthly basis
- Monitoring of the designated inbox to ensure all queries are dealt with effectively
- The general ‘house-keeping’ of files, ensuring relevant documents are available and updating them when necessary.
- Adding/Removing and updating the calendar to reflect work for staff
- Ensuring staff are keeping records up to date
- Sourcing information that can promote and support service delivery.
- Quality assure Cafcass reports from Swan Centres and private contact reports before submitting or sending to the relevant person.
- Complete financial data and send statements for invoicing to subcontractors.
- Flag any safeguarding concerns immediately to the relevant person.
- Support the centre covering contacts where possible

Due to the nature of the information the job holder will be exposed to, it is essential that they maintain the highest level of confidentiality at all times. Failure to do so may result in disciplinary action, up to and including dismissal
**Job Types**: Full-time, Permanent
Pay: £24,375.00 per year
Schedule:
- 8 hour shift
- Day shift
- Every weekend
- Monday to Friday
- Weekend availability
- Weekends only
