To provide efficient, comprehensive secretarial and administrative support to the Executive team with particular focus on the Directors that the job holder notionally supports.

**Client Details**

My client is within the public sector, seeking an experienced EA / PA to join their busy team on an initial period of 3 months.

**Description**

**The key responsibilities would include**:

- Diary management - using the diary creatively to ensure maximum use of face-to-face communications. Use of electronic diary, ensuring regular meetings are planned well in advance and all papers available in a timely manner to facilitate meetings.
- Collate and distribute papers in relation to the Director's diary
- Take minutes at Trust Leadership meetings and committees when required.
- Manage electronic and paper filing systems to ensure key documents are available when required.
- Ensure competent and accurate presentation of letters, reports and documents. Be able to format slide show presentations drawing on Trust-wide material and other resources.
- Undertake desktop research as required, including journals, periodicals and the Internet.
- Liaise with internal and external stakeholders to facilitate the roles of the Trust Directors.
- Maintain own professional development linked to individual performance review.
- Provide general administrative support to the other Directors as and when required.
- Maintain complete confidentiality of corporate and medical 'in confidence' information made aware of in the course of work.
- Prioritise own workload whilst dealing with competing priorities and the ability to deal with conflict resolutions.
- Receive and respond to high level enquires on behalf of the Directors in a professional and courteous manner, ensuring as much information, guidance and help is given as is possible.
- Ensure that you and your team demonstrate professional behaviour and standards at all times to ensure the reputation of the organisation is protected and to have awareness of the political sensitivity and confidential nature of the work being carried out
- Provide administrative co-ordination of designated policies/ complaints/ other processes for the Directors that the post holder supports.
- Manage travel and accommodation arrangements for the Directors when they are on Trust business or attending professional events.

**Profile**
- Previous experience within a similar role
- Ability to start immediately
- Excellent organisation and communication skills
- Proficient IT skills such as Microsoft Word, Excel, Outlook and Powerpoint
- Diploma or secretarial qualification or equivalent Business Administration qualification or equivalent level of ability.

**Job Offer**

An initial contract of 3 months and competitive salary.
