An exciting opportunity has arisen for a Hotel Service Co-ordiantor to join our team and provide an efficient and effective administrative service to the Estates and facilitates Department. The post holder will work in partnership with all Trustwide Estates and Facilities Teams, assisting them to carry out their admin duties efficiently.
Maintain and update all systems and procedures within the site Estates and Facilities Department to include all estates and facilities staff with respect to Human Resource ESR System being accurately updated and maintained.
Co-ordinate the Estates work activity for the Cramlington Site ensuring that an effective maintenance and repair service is provided for all Departments across the Trust.
Co-ordinate the processing of orders and invoices and the updating of the Estates and facilities database.
Ensure that an effective administrative support service is provided for Estates and facilities Managers and all Estates Officers
Judgments involving facts or situations some of which require analysis where there is more than a straightforward choice of options, such as analysis of complex financial queries or discrepancies.
Responsible for the accurate input of data into the Bactraq FM Information system.
Analysis of data from spreadsheets to identify missing deductions from salaries, irregularities of payments
NHFM is a wholly owned subsidiary of Northumbria Healthcare NHS Foundation Trust. Established in 2012, NHFM provide specialist project management services for large and small capital developments, estates maintenance and a full range of facilities services. Carrying out facilities management for a state-of-the-art specialist emergency care hospital - The Northumbria, three general hospitals - North Tyneside, Wansbeck and Hexham hospitals - and a number of smaller community hospitals and clinic sites, we cover one of the largest geographical areas of any NHS trust in the country.
To act as first point of contact, and manage the Estates Office the office to ensure the department’s performance in areas such as processing of orders and payment of accounts and the NSECH estates maintenance help desk, for all breakdown maintenance within the Site.
Ensures that work is completed in line with financial timescales.
Investigates enquiries from suppliers, staff and patients/visitors and provide assistance and advice as required.
Provides administrative support to the facilities departments Estate Officers and takes minutes at Estates and facilities Directorate meetings.
