The Edmund Bell business requires a versatile and highly organised individual, with a demonstrable skill set as a PA / Executive Assistant.

You should have a professional and capable presence and be able to oversee management of office facilities & provide general administrative support to the CEO, Board & Group HR Manager.

Scope of role.
- Provide vital administrative support to the CEO, Company Directors, and Group HR Manager
- Effectively manage the onboarding of new starters into the business
- Provide a reliable, accurate and pro-active support to the Group HR Manager
- Provide a high-level experience for all visitors to site.
- Ensure adequate provision of office supplies to include stationary, refreshments, IT hardware / software and cleaning products
- Coordinate offices services, events, car fleet & other ad hoc requirements

Key Responsibilities
Customer:

- To Facilitate facilitate Directors, Management & Teams to provide their highest level of Customer service and satisfaction
through efficient, effective & proactive back-office support
- To provide a professional and polished visitor experience to any Customers to site.
- Updating Customer, Supplier and Agent agreement and maintenance of related files

Operations:

- Attendance at Management Meetings and taking minutes and recording of actions
- Obtain and circulate management weekly itineraries
- CEO diary management
- Management of Company vehicles fleet and related drivers’ information
- National & International travel booking for all travelling employees Managers/Directors and provision of full itineraries
- Planning and coordination of events, functions and meetings as required
- Management of office supplies, refreshment facilities, cleaning supplies and ensuring good housekeeping across all office areas
- Greeting visitors to site, booking of required meeting rooms & provision of refreshments

People:

- Assist the management of recruitment for vacancies across the Redwood Groupgroup, arranging advertisements, interviews, and contracts
- Onboarding of new employees by issuing Contracts, arranging system access, set up on add time system, inductions, set up staff files and liaise with payroll regarding salary set up
- Provision of starter, leaver, and changes information to payroll
- Administration & update of Addtime system, management of anomalies and provision of attendance reports
- Attending HR meetings and taking notes
- Management of probationary reviews, annual performance & salary reviews, and production of related paperwork

Financial:

- Reconciling CEO receipts/credit card/cash and vehicle expenses
- Cost effective management of spending within all areas of jurisdiction, escalating any rising costs or other concerns
to - Senior Management
- Managing the swift payment of any fleet management, travel, events, and supplies costs
within agreed procedures.

Safety:

- Maintain a safe working environment for themselves and others
within - the scope of the Company’s Health & Safety Policy.
- Monitor and take action to remedy any H&S risks within the Office
area
Provide effective H&S inductions
to - new starters
- Take minutes at regular H&S Meetings.
- Ensuring completion of the Company accident book & reporting of relevant incidents
to RIDDOR

Hours of Work: 8:45 - 17:15pm

**Salary**: £28,500.00-£31,000.00 per year
