Addcounsel and Orchestrate Health are both private pay integrated mental health services. Delivering Mental Healthcare services to typically high net worth individuals and families, who look for effective treatment without hospital admission.
Delivered through two main brands, Addcounsel (One client at a time treatment for complex mental health and substance misuse) and Orchestrate Health, a private curated mental health service, delivered at home, in clinic and online (blended care) to treat patients.
The Service Delivery Coordinator will work alongside the Senior Treatment Coordinators, to organise the seamless and effective delivery of care packages to our clients. Providing clear and comprehensive schedules of treatment, while always maintaining professional written and verbal communications.
Alongside this, the Service Delivery Coordinator will also work with the Head of Case Management to establish and grow the Associate cohort of medical and therapeutic professionals. The requirements for highly skilled mental health experts will evolve and grow and this role will play a key part in ensuring we have the right resources available to ensure the safe and effective delivery of our unique services.
The role demands a flexible approach. As at times schedules will need to be created or changed at short notice.
**Responsibilities**:
- To be responsible for scheduling and recording client appointments. This will include coordinating client treatment schedules, room hire, rescheduling to manage conflictions or cancellations, travel, flight, and accommodation bookings where required and liaising with associates.
- Managing the onboarding process for successful Associates, ensuring they are fully meet our compliance criteria prior to working with any client
- Building effective relationships with key stakeholders, clients, and contractors to ensure continuity in the service being provided.
- To format psychiatric assessment reports and medical documentation in accordance with GDPR regulations.
- To manage the communications and record keeping in relation to client treatment plans and progress notes with relevant clinical information in line with CQC regulations.
- To provide administrative support to the Senior Treatment Coordinators and the Operations Manager to coordinate client treatment and consent documentation in line with GDPR regulations.
- Accountable for ensuring our colleagues and contractors are kept up to date with new and existing assignment opportunities in an effective manner, along with sending out regular communications.
- First port of call for our workforce scheduling, dealing with enquiries promptly and professionally.
- Use personal judgement and initiative to develop effective and constructive solutions to challenges and obstacles in scheduling procedures.
- Ensure teams are programmed effectively to satisfy location, skill set and work type.
- Liaise with The Senior Treatment Coordinators to ensure the designated workforce has up-to-date client information and work requirements and arrangements.
- To liaise with clients and third parties relating to authorisation of client treatment.
- Inputting data to the Client Tracker.
- Participate in team meetings, training, and activities.
**Skills & Competencies**
- A proven record of accomplishment of recruitment administrative experience working with both internal stakeholders and customers preferably within the healthcare sector
- Excellent IT Skills including Microsoft packages and system databases.
- Conscientious with a meticulous approach to dealing with details.
- Excellent verbal and written communication, proven excellence in customer service.
- A flexible approach with an ability to adapt quickly to meet the demands of a busy environment.
- A ‘can do' attitude.
- Experience within an office environment or other relevant customer service experience.
- Able to travel for work, if necessary.
- A proven ability to meet deadlines.
- Experience of working in a fast-paced role with the ability to schedule effectively and meet demanding deadlines is desirable.
- Previous scheduling experience/ Rota management
- Ability to communicate professionally with the business, clients, and contractors.
- Excellent at prioritising a varied workload and enjoy being flexible and enthusiastic in supporting the wider team.
- Some analytic ability, originality and/or ingenuity required.
- Strong organisational and follow-up skills, as well as attention to detail.

**Salary**: £25,000.00-£28,000.00 per year
