Administration and Triage Coordinator

**Overall Aims of Post**
This important role will support Vision Support by providing a central access point for responding to initial enquiries, referrals and information requests. Crucially, you will support service delivery by screening and triaging all incoming enquiries and referrals, identifying initial needs and uploading to our internal database in preparation to hand over to the wider community services team.
**Key Responsibilities**
**Information, Advice and Support Services**
- Make initial contact with those wishing to access our services, identifying needs through effective triage and uploading to our database in preparation to hand over to the relevant service/team.
- To signpost people to other external relevant organisations.
- To provide a consistent approach to all people referred to the organisation ensuring that we have a comprehensive understanding of the person’s needs.
- Handle quick enquiries including (but not limited too) signposting, equipment purchases, contact information and referral details.
- To support community based clinics and activities when required.
- Provide cover for other members of the team when required.
**Community Engagement**
- To keep a database of information and services from the community development workers to support signposting across the services.
- To signpost people or make referrals to organisations who offer services to people affected by sight loss.
- To support people with sight loss to develop links with other service providers, community groups/activities and volunteers/befrienders, where appropriate
**Organisation and Administration**
- To support and assist our admin function in answering incoming calls ensuring a quick response
- To support administration within the organisation
- To work to gather and monitor data that will help to inform the direction of the organisation and help us to identify the areas of need
- To maintain accurate records, complete relevant project documentation and database inputting for monitoring and reporting purposes.
- To share and disseminate good practice information within the team.
- To gather feedback as required.
- To support with greeting all clients and visitors ensuring that they are welcomed to Vision Support
**Supporting the Strategy**
- To contribute positively to the success of Vision Support’s strategic aims, recognising the importance of integrated working
- To develop good working relationships with all teams within Vision Support
**Additional Duties**:
- Willingness to travel within the area and the community we work within
- Ensure value for money and best use of resources in all activities related to the post
- Any other reasonable duties as may reasonably be required by your line manager
