**The role**

This is a brand new position due to company growth where you will play a vital role in supporting the Estates Team.
- Coordination of all growth project administration including maintaining the practice directory
- Gathering of banking information, including ensuring the correct calculation of completion statements and the arranging of this money to be transferred on completion of the lease at the appropriate date. Ensure ongoing payments are communicated to the Estates Administrator for inputting onto associated systems
- Ensure that all new addresses are correct across the various property documents prior to legal exchange/completion and correspond exactly with the actual site that we have leased. The role will also require the registering of all new addresses with Royal Mail and the Local Councils asap so that other stakeholders (i.e. IT & Procurement) can progress their respective project tasks
- Annual rental and service charge budgets for the region
- Liaise with the Landlord & where appropriate, and the Local Authorities to ensure the correct business rates information is obtained and shared with our business rates colleagues. This would include obtaining the most recent business rate bill and identifying the reference number. Where appropriate ensure that any residential elements of the property are identified and the business is registered as the occupier for council tax purposed
- Collating of lease information and sharing with stakeholders across the business at appropriate times to ensure data integrity is maintained across systems and operational departments have the right information for them to ensure practice operation is not impacted
- Ensure all property information is gathered including, key contact details of the Landlord, Managing Agent, Service Charge Agent, etc, and passed through to the Estates Admin Manager as part of the completion documents
- Collaboration with the Project Management team to ensure accurate reporting of key information to various stakeholders including finance, procurement, IT, etc
- Liaising with external consultants and service providers including Bellrock, Colliers (GLH) around any related business rates, service charges & insurance costs that they are able to manage on our behalf in line with existing agreed processes
- Gather all required utility information for the relevant property including the meter numbers, final readings, etc, and communicate these with the relevant internal teams. Also, ensure that all information is passed on to our Utility consultant managing the smart meter rollout projects

**Desirable skills & Experience**
- Excellent excel and PowerPoint skills
- strong organisational skills with the ability to manage time and workload
- Property and Estates experience desirable
- Ability to communicate with people at all levels
