**About the role and team** *** We are seeking a Legal Secretary to join our Secretarial team within Employment and Pensions. This is a 12 month FTC to cover Maternity. This role is to provide proactive support to fee earners, delivering a full secretarial and administrative service. The role necessitates working closely with secretarial colleagues to ensure support is consistent and effective. Key tasks include: - Regularly meet with fee earner to discuss work requirements, highlight priorities and address issues together - Diary management and organisation: assist in managing fee earner’s diary (proactively looking ahead), make all appointments, travel arrangements, prepare itinerary, setting up reminders and helping to ensure deadlines are met - Print off papers routinely (where required) for fee earner meetings - Receive telephone calls to the department, take sufficient details on receiving new enquiries to direct the call to the appropriate fee earner or department to enable an efficient response - Pro-actively liaise with clients and third parties re compliance requirements, billing issues, to provide updates and chase outstanding items - As necessary, act as “gatekeeper” for fee earner, screening telephone calls and keeping interruptions to a minimum - Provide assistance with financial matters, the preparation, collation and despatch of bills, facilitate fee earner in their trail management, deal with fee earner expenses - Audio typing and the transcribing of letters and reports as necessary - Prepare and assist in drafting client engagement letters and other routine/standard letters for completion by fee earner - General administration including paper and electronic filing, scanning, downloading and saving correspondence and documents to DMS and opening, maintaining, closing and archiving files - Carry out all necessary compliance checks in conjunction with fee earner, regularly back-check to ensure files are compliant, facilitate fee earners in their file reviews by carrying out all non-legal aspects of the review - Record key dates in accordance with department process - Assist with specialist activities such as marketing, business development, events, etc. as appropriate, notify Marketing of fee earner’s participation at external events and conferences - Provide CRM support as appropriate, recording and diarising contact with clients - Assist with seminars as necessary: preparing presentations and handouts, meet and greet clients - Participate in company and department development initiatives or project teams - Prepare monthly client management reports as required - Provide cover and support across the department and firm when necessary - Consistently adhere to and improve upon the Secretarial Services Standards - Any other reasonable duty as requested *** - Proactive - Good communicator - Highly organised - Not afraid to challenge - Have the ability to prioritise with little supervision - Able to use their initiative with little supervision - Have excellent diary management - High level of client contact - Efficient in MS Packages such as Powerpoint and Outlook - Able to set up meetings via Teams/Zoom - Digital dictation - Producing bundles - Assisting with Financial administration **About the firm** *** Anthony Collins Solicitors is a specialist law firm with a clear purpose - to “improve lives, communities and society".
