To provide a comprehensive administrative support to the school and Headteacher / eadHead Office Manager.

The person undertaking this role is expected to work within the policies, ethos and aims of the Trust and to carry out such other duties as may reasonably be assigned by the Line Manager. The post holder will be expected to have an agreed flexible working pattern to ensure that all relevant functions are fulfilled through direct dialogue with employees, contractors and community members.
**English Duty -**
This role is covered under part 7 of the Immigration Act 2016 and therefore the ability to speak fluent spoken English is an essential requirement for this role.
**Person Specification**
**Office Duties**
- Ensure reception area is welcoming and tidy.
- Receive visitors and deliveries/goods, dealing with associated administration (security badges, signing delivery notes)
- Show visitors around
- Deal with telephone calls and other enquiries, provide general information, take messages
- Be a first point of contact for students/pupils requiring help/support and referring them to other appropriate staff in school.
- Handle incoming mail, ensuring appropriate distribution
- Handle outgoing mail, franking and posting, maintaining records of postage
- Maintain petty cash system
- Undertake word processing, produce standard letters - amend with up to date information (e.g. letters to parents re events in school), produce documents from drafts
- Take minutes of meetings
- Administer late and pass-out slips to students
- Assist with production of school newsletter
- Distribute documents and materials within the school.

**Finance**
- Collect, count and record dinner money on our online system Parent Pay
- Receive and record other money on behalf of the school (eg. trips, voluntary contributions), as instructed by the Heaadteacher/ Office Manager
- Create orders and input invoices as authorised by the Head/Office Manager Retrieve standard reports from the finance system.
**Records**
- Maintain pupil and staff data, update, retrieve information and collate reports. Complete paperwork for admissions and leavers.
- Produce attendance registers from MIS, record and maintain attendance and reasons for absence, following up as necessary (e.g. chasing sick notes from parents)
- Complete absences for teaching and support staff.
- Undertake other routine procedures, assist in completing all statutory data returns.
**Other**
- Supervise and train other members of staff
- Liaise with parents to notify of sick child
- Willingness to be First Aid trained
