**JOB PURPOSE**:
To ensure the accurate and timely processing of all data relating to the management of student records across all funding streams relating to Group delivery.

**PERSON SPECIFICATION**
- A proven ability to engage proactively with colleagues to ensure key business process and data compliance requirements are understood and met.
- Excellent organisational skills, including the ability to work independently, plan, prioritise and work effectively under pressure.
- Excellent communicator, possessing ability to communicate with many people on many different levels.
- Experience of working in administration and a customer focused environment.
- The post holder should hold a level 2, or above in Numeracy and Literacy.
- Minimum of 2 years’ experience in an administrative role and experience in use of learner records systems or similar databases.
- A proactive approach to resolving problems and queries.

**ROLES AND RESPONSIBILITIES**

**Exam Related Responsibilities**
- Take part in the collection, checking, inputting and submission of exam entries and registrations using in house management information systems and external awarding body systems, including any authorised access arrangements.
- Work independently across the College and HLD to oversee and assist with ensuring that all exams are conducted to the standards and requirements stated by the awarding bodies, College procedures, JCQ and Ofqual, including supporting the Deputy Head of Exams in training invigilators.
- Support the maintenance of the exams timetable, including the timely processing of on-demand exam bookings, to ensure accurate and timely information is always available for staff and students, including the allocation of invigilators and tracking costs.
- Maintain current knowledge of the requirements of the various examination and accreditation bodies and ensure that internal procedures adhere to these.
- Liaise with staff to disseminate information in relation to exams entries, fees, closing dates, timetables and achievements.
- Contribute towards the achievement capture process and ensure results are appropriately recorded to enable accurate success data to be reported, including the tracking and distribution of exam certificates.
- Ensure the maintenance and security of exams papers, including collating exam papers, preparing exam packs, collecting and dispatching exam papers to awarding bodies after exams have occurred.

**MI Related Responsibilities**
- Participate in enrolment related activities, including during the main enrolment period, for both classroom-based students and Apprentices. As part of enrolment activities you will be expected to manage monies and take responsibility for the balance of monies.
- Undertake accurate MI data entry across all funding and income streams, including but not limited to withdrawals, transfers and apprenticeship financial information.
- Engage in the systematic and routine checking of the accuracy of the student and course data collected, ensuring all data fields are fully and accurately completed.
- Liaise with appropriate curriculum staff to ensure accuracy of timetables and register data entered into the system. Ensure these are maintained in line with update requests throughout the year.
- Undertake updating external systems relating to student data as required, including the Advanced Learner Loan Portal and the HE Loan Portal, OneFile and any other systems as and when required.
- Respond to enquiries regarding student information, including requests for council tax certificates and references. Support curriculum teams with queries from prospective applicants and maintaining the student records system with applicant details.
- Maintain a working knowledge and understanding of the ESFA and OfS funding rules and regulations to enable effective undertaking of the role.

**General Responsibilities**
- Actively participate as a full member of the MI & Exams teams, working closely with colleagues, managing workloads and attending all team meetings as determined by your line manager.
- Act as a key point of contact to customers for the MI & Exams functions.
- Undertake MI & Exam related staff inductions and training as and when required, including helping to maintain help guides relating to key topics.
- Participate in all training on the relevant data systems used in the delivery of the role, ensuring full compliance and accurate use of the systems and processes.
- Undertake some evening and weekend work as and when required.
- Provide exceptional customer service to all staff, students and college visitors.
- To undertake such other duties and responsibilities as are appropriate with this level of post as required.

**Job Types**: Full-time, Permanent

**Salary**: Up to £21,000.00 per year
