**The Role**:
Working as part of a strong, unified people team, the People Co-ordinator is a central role designed to support the Senior People Co-ordinator, in conjunction with the People Partnering team to deliver a best in class people experience. The key focus will be delivering administrative support to the people team and organisation by way of efficient and effective administration service.
Working closely with the Senior People Co-ordinator you will be involved in timely and accurate onboarding for new hires from drafting contracts to organising the onboarding day/calendar, keeping our systems up to date and accurate so we can provide reports and analysis as required, responding to initial employee and manager queries about benefits, policies or general HR queries, and escalating as required. You will also work closely with the team on improving and streamlining our processes and policies to be more efficient or to better serve our colleagues and organisation.
**Primary Responsibilities**:
- Onboarding administration which involves: drafting the contract, creating a personal file, adding to the onboarding calendar, the people database, notifying IT, completing background checks and liaising with managers to ensure a smooth onboarding experience
- Monitoring help desk queries and ensuring employee and manager queries are responded to in a timely manner.
- Understanding and able to advise on standard company policies, frameworks and practices and providing guidance to employees and managers in response to questions.
- Ensure files and systems are fully complete, up to date and accurate. This will include personal files, organisation of people team files to ensure easy access to most up to date information as well as ensuring our Sage people database and other people information systems.
- Taking proactive action on requests e.g. drafting contract amendments, policy amendments etc.
- Payroll and benefits administration.
- Owning and ensuring Offboarding Administration is fully completed in a timely and accurate manner: from acknowledging acceptance of resignation to arranging exit interviews, calculating holiday entitlement and liaising with the manager and people partners to effectively offboard.
- Supporting the People Partnering team in day to day and project activities as required.
**We are looking for someone with**:
- Previous experience of administration within a busy People team.
- Understands the sensitive nature of the data and information they are privy to and puts data privacy at the top of their list when undertaking your duties.
- Up to speed with HRIS technology. Good at building knowledge and working on different systems and platforms
- Approach issues with a ‘can do attitude’, driving tasks forward to a successful conclusion. A ‘completer-finisher’.
- Strong eye for detail.
- Knows when to escalate matters.
- Ability to work under pressure and meet deadlines.
- Evidence of excellent communication skills, both verbal and written.
- Strong computer skills, including word processing and spreadsheets.
