Provide secretarial assistance to the Divisional Managers within Pathology at North West London Pathology ensuring the provision of an efficient and reliable service.

**KEY RESULT AREAS**:

- To assist with the management of the administrative functions required in NWLP
- Under supervision, to provide full administrative support to the Divisional and Deputy
- Divisional Managers within Pathology at Imperial College Healthcare NHS Trust and North West London Pathology under the direction of EQA- Referral Lead
- To provide an informative and courteous link, with internal hospital staff and internal clients and agencies i.e. GPs, Consultant or other medical / non-medical staff, clinical trials executives and commercial representatives.
- To demonstrate a high degree of professional competence in all administrative tasks necessary for the efficient and cost effective management of the academic and service aspects of Pathology.
- To perform those clerical functions associated with clerical letter, report generation, despatch and storage of results and to assist the EQA- Referral Lead as appropriate.
- To gain competence quickly and efficiency in any unfamiliar, or new development, aspects of the service, equipment or organisation as specified in section 1.
- Producing invoice requests and credit notes as required, including checking referral invoices

and refer to EQA-Referral lead for approval.
- Maintains office stationery levels and orders stock as necessary using e-procurement
- Liaise with IT as necessary regarding new starters and general IT problems.
- Maintain filing system both paper and electronic
- Assist with surveys/audits as required
- Provide cross cover for other administrative staff if required
- Assist as required with the provision of Pathology reports; providing a high quality, efficient and effective service for Pathology service users.
- Ensure the smooth and efficient running for resolving local complaints directly to the provision of the service.
- Assist in the implementation of Trust, Directorate and Departmental Targets.
- Book venues across the Trust as required for meetings; workshops; training etc.

**MAIN TASKS AND RESPONSIBILITIES**:
Communication and Relationship Skills
- To demonstrate politeness, courtesy and sensitivity in dealing with client’s/patients, visitors and colleagues, maintaining good customer relations.
- Contribute towards sharing good practice within the department and Trust wide.
- To work cohesively with all members of the department team in ensuring that the very best services are provided at all times.
- Participates in departmental meetings and contributes to effective communication within the department.
- Communicate any difficulties, problems, accidents or incidents affecting the department to a manager promptly.
- Deal with internal and external enquires to the department, including providing results where appropriate.
- To provide administrative support for formal HR procedures, including access to confidential, personal and sensitive information.
- Communicate relevant information to other departments and stakeholders within the Trust and to external parties where appropriate.
- Participate in A&C Staff meetings and represent the A&C group at the NWLP training committee when delegated.

Responsibility - Office Duties
- Manage all correspondence, typing reports, agendas, and minutes of meetings for the designated team.
- Arranges meetings for the team as necessary, managing room bookings and materials required.
