**THE ROLE**
UWT are looking for a dynamic Procurement Officer to administer and monitor the charity’s purchases and creditors.
**OVERALL RESPONSIBILITIES**
The Procurement Officer will be responsible for:
- Being the UWT point of contact for all the suppliers and all UWT departments to process the procurement function.
- Receive the purchase requests from all UWT departments, get timely quotes, perform comparisons, place orders and ensure timely delivery of supplies to the respective department or UWT personnel.
- Maintain database of suppliers and service providers and records of purchased goods.
- Negotiate with the suppliers and service providers to get the best value for money while meeting the quality standards.
- Introduce ways to bring efficiency in the existing procurement process.
- Timely planning and processing bulk orders from abroad.
- Receiving, checking, and processing purchase invoices ensuring sign off in line with set schedules and processes
- Posting and monitoring petty cash
- Investigating purchase ledger queries
- Assist in preparing the charity’s financial reports
- Reconciling supplier statements
- Liaising with suppliers
- Maintaining the accuracy of vendor details
- Processing staff and company expenses
- Assisting with queries and reporting
- Work out VAT payments
- Check and reconcile supplier statements
**PERSON SPECIFICATION**
**Qualifications**
- Studied up to AAT past finalist or equivalent (Essential)
**Experience**
- Minimum one year in a practicing firm or work experience as a Procurement, Purchase Leger Clerk, or of book keeping or a similar role (Essential)
**Skills/Abilities**
- Impeccable accuracy with excellent attention to detail (Essential)
- Skilled in handling a busy workload, multi-tasking, managing conflicting priorities and meeting deadlines in a fast-paced and pressured environment (Essential)
- Positive attitude when working individually and with others, with an adaptable and flexible working style (Essential)
- Advanced skills in MS Excel (Essential)
- Skilled in using financial software and accounting systems like Sage etc. (Desirable)
**Knowledge and understanding**
- Strong knowledge of financial and accounting procedures (Essential)
- Demonstrable knowledge and experience of the humanitarian and non-profit policy sector (Desirable)
**Other**
- Personal conduct and delivery of work should comply with the values and culture of Ummah Welfare Trust (Essential)
- Track record of punctuality, contingency planning, negotiation, cost saving, and passion to serve the humanity (Essential)
- The ability to occasionally adapt working hours to meet the requirements of the organisation (Essential)
