Are you ready to jump onboard? **Administration Assistant** We are looking for an Administrative Assistant to support the business with activities aligned to our Montrose facility in Scotland. This role reports to our Manager, Operations, working within our Project Services team within our Marine Power business unit. This role is a part time position for 27 hours per week, additional hours may be required for holiday cover. **What will I be expected to do as the main responsibilities of this role?** - To process and maintain BOMs, creating the required purchase orders in SAP in line with ISSO9001 standards and expediting of orders - Ensure MRP is kept up to date - To create non direct orders in company platform - Create material numbers in master data as required - To maintain approved vendors in accordance with company procedures - To maintain workflow, ensuring blocked billing items are cleared correctly - To create quotations for spare parts as per customer requirements - To process customer orders in SAP - 1 day per week will be dedicated to working in our stores and full-time coverage will be required for holidays, this will involve packing shipments, booking goods in out in our SAP system and maintaining test equipment. - To work with stores and engineering to produce dispatch paper and arrange suitable transport - Work with freight forwarders to ensure customs compliance - Maintain files and documentations electronically using the correct naming convention. - To liaise and maintain good relations with customers, suppliers and all Wartsila personnel. - Carry out other administration tasks, and offer assistance to other staff as may be required to cover holidays and days off - Any "ad-hoc" duties that may be required in order to carry out the requirements of the job. - Create accurate dispatch notes, arranging transport, ensuring customs compliance - Ensuring customers are informed of all dispatch information and all shipments are received **To be successful in this role, the following would be advantageous**: - Previous experience in SAP - Previous experience in a similar role (purchasing / stores) - Good working knowledge of all Microsoft packages - Be able to work in a fast-paced environment - High level of accuracy - Ability to work as part of a team or individually - Working according set KPI’s - Compliance and business processes in accordance with the current business ISSO9001 standards. - Always ensure compliance with current Health & Safety legislation, company quality procedures, and data protection. - Meeting personal performance targets as defined during the annual development discussion. **Next steps** Does this sound like the job for you?
