AES offers a variety of services; from academic and logístical support for semester and short term programmes as well as accommodation and study centre venues.

**This job will be mainly Monday - Friday, however, Weekend availability will be required during our arrival season.**

**The Role**

**Pre arrival**
- Assisting with the set up and communication on WhatsApp and Microsoft Teams
- Working with different AES departments to ensure Microsoft Teams folder is fully up to date.
- Updating student information & handbooks
- Signing off apartments before intake
- Wi-Fi checks prior to arrival

**Orientations**
- Deliver & update arrival orientation in conjunction with the Internship and Housing team.
- Prepare arrival & orientation documents.
- Present Living in London at arrival orientations

**In country**
- Check-ins for housing with students arriving form the US
- Attendance - creating and monitoring both internship and class attendance
- Distribute and analyse surveys for both mid and end points of the study abroad programme
- Arrange and attend Student Ambassadors meetings
- Deal with any WhatsApp enquiries from all university groups, including the weekend if it’s an emergency. Mobile phone will be provided.
- Providing pastoral care for visiting students
- Assist the Marketing manager in generating student content
- Arrange Social Programme (liaise with 3rd parties as necessary) and attend events (if necessary). This will include events at our study centre, as well as weekend trips.
- Be responsible for document management and electronic filing.
- Assist the internship team with mid evaluations.
- Liaise with Housing team over any AES ‘in house groups and accommodation issues.
- Assist adjunct & visiting faculty with any programmatic activities they may required

**General**
- To maintain and improve operational efficiency and quality of service through improvements in procedures and processes.
- To contribute fully to AES services, undertaking team-related tasks and responsibilities as appropriate, and supporting other teams as required.

**Guest relations**

Create a process and manage issues relating to:

- Housing
- Internships
- Classes

**About you**
- Experience of office administration.
- Highly organised with strong attention to detail.
- Fluent in English.
- Excellent verbal and written communication.
- Positive attitude and highly motivated.
- Ability to prioritise work, use initiative and meet deadlines.
- Enthusiastic phone manner.
- Good interpersonal skills & a sympathetic attitude.
- Computer literate; knowledge of Microsoft Office Applications (Word, Excel, PowerPoint, Outlook).
- Public speaking skills would be helpful.

**Job Types**: Full-time, Permanent

**Salary**: £25,000.00-£26,000.00 per year
