Due to our unprecedented business growth, we are seeking an **experienced Administrator from an Independent Financial Planning **background to work within our Planner Support Teamon a **full-time basis**. This new team member will join our relatively small but highly skilled team and be pivotal to the service we provide to clients. We are looking for a minimum of **three years’ experience** within a Financial Advisory environment and therefore the ability to hit the ground running with knowledge of terminology and working practices.
**Job Purpose & Objectives**
To provide methodical and consistent administrative support, of an exceptional standard, to the Blue Sky Financial Planning Team. Working with other Administrators, you will be responsible for task management and detailed administrative activities on a day-to-day basis.
You will play an important role in supporting the team by producing client review packages, quotes, switch processing and general client servicing activities.
**Main Duties & Responsibilities**
- Work closely with the Financial Planners, Paraplanners and Planner Support Team providing an efficient and flexible administration function.
- Provide a high-quality service to clients, making sure that client queries are dealt with in a timely, professional and friendly manner.
- Process new business, top ups, fund switches and withdrawals.
- Check and complete investment transactions.
- Collating, updating and maintaining client personal and financial information, including the submission and chasing of requests for information through providers - letters of authority.
- Responding to activities and tasks assigned to the Planner Support Team.
- Assisting and liaising with the Financial Planning Team in preparing for client meetings and reviews.
- Assisting the Financial Planning Team in generating suitability reports and the associated paperwork.
- Efficient use of our back-office systems (Intelliflo) with 100% accuracy and attention to detail - activating and progressing through Workflows, ensuring files and client information is updated, adding risk questionnaires, creating and updating potential income opportunities for clients and prospects. Full training is provided but previous use of IO will be a definite advantage
- Document management; updating, maintaining and archiving client files
- Checking notes and policy documents for accuracy
- Working with, supporting and training other team members when required.

**Experience & Person Specification**
- Previous administrator experience within a financial advisory environment
- Excellent verbal communicator and listener
- Superb grammar and punctuation with written communication
- Professional yet friendly telephone manner
- Strong ability to build rapport and great working relationships with team members and external suppliers
- Flexible and adaptable to change
- Strong attention to detail and time keeping
- Excellent knowledge of IFA terminology, platforms and products
- Excellent IT skills with and competent in the use of the Microsoft suite - Word, Excel, Outlook
- Ability to follow workflows and process maps
- Working knowledge of financial back-office systems, use of IO an advantage
