**Job Description Overall Purpose of the Role**:
An opportunity has arisen for a new Regional Administrator to join the Unscheduled Care department and be part of a team who deliver excellent patient care through various services operating over a large geography.

You will be responsible in supporting the service delivery team with administrative tasks and project management support that ensures the safe and efficient running of our services & internal operations such as:

- Out of Hours GP Service
- Urgent and Primary Care service
- Acute In-House Visiting Service
- Extended Access
- Target Training
- Medicines Management
- Fleet

**Principle Responsibilities will Include**:
**General**
- Provide administrative support for the Head of Unscheduled Care, Urgent and Primary Care team and other managers (typing, copying, diary management, arranging meetings, dealing with correspondence, supporting meetings with minutes etc.)
- Typing and formatting of correspondence including reports, statistics, letters, minutes, staff review documentation etc.

**Principle Responsibilities Continued**:

- Support the Head of Unscheduled Care in the development and production of reports, plans and operational activities including relationship management both internal and external.
- Organise meetings, venues & take minutes and action log and circulate in timely way in line with Terms of Reference
- General administrative support to the team of managers across the Unscheduled care directorate
- Check actions on shift reports and liaise with relevant departments as needed, supporting service managers to resolve issues in a timely manner
- Support the Integrated Urgent Care service on occasions during out of hours as requested
- Escalation of estates issues and support for base and fleet issues as arising and as directed by line manager
- Any ad hoc tasks and duties as required by the needs of the service

**HR Responsibilities**
- Monitor annual leave on a quarterly basis and escalate where staff have not yet booked sufficient annual leave
- Coordinate the appraisal process for the managers in the team ensuring that records are accurate, up to date and meetings scheduled in a timely manner.
- Support managers with absence and appraisal meetings
- Request equipment for new starters - mobile phone, laptop etc. in a timely manner to ensure a seamless transition to the organization

**Service Delivery**
- Contribution to the Regional Head of Operations daily, weekly, monthly performance reports and any other reporting required
- Contribute to the cascade of lessons learnt from complaints and incidents
- Production of reports daily including situation reports
- Monitor, escalate, and track actions on shift reports and chase relevant departments.
- Coordinate target training days ensuring all elements arranged and relevant cover in place
- Support the Rota team with filling shifts and support the managers with planning for public holiday staffing
- Support with referrals to other agencies as necessary
- Support to managers to keep contingency processes up to date
- Support the services during out of hours on occasion and as the service needs require
