The postholder will be responsible for administration support for the RAAR - Rapid Access to Rehabilitation Team based at the Denmark Hill site. The RAAR Team is an interdisciplinary team of rehabilitation professionals including occupational therapy, physiotherapy, psychology, speech and language therapy, rehabilitation nursing and therapy support workers, all overseen by rehabilitation medicine consultants. The RAAR team provides rehabilitation to inpatients with complex rehabilitation needs including brain injury, spinal cord injury and polytrauma.
The post is located primarily at the Denmark Hill site, with possible occasional duties at the Orpington site
Duties will include day to day administrative support of the team including supporting timetabling of patient sessions, room bookings, supporting team communication including managing the team phone line and messages, acknowledging and logging referrals and supporting reports and letters, and supporting processes for ordering and maintaining equipment. Supporting the referral management system will include managing consults and lists within EPIC and also using the Badgernet referral system.
The potholder will also be responsible for supporting the timely and accurate collation and submission of rehabilitation data, under the direction of the Band 8a Service Manager and Band 8B Deputy Head of Therapies. This includes monthly submission of UKROC (UK Rehabilitation Outcomes Collaborative) data, maintaining accurate Badgernet data and supporting the compilation of reports on the team’s Key Performance Indicators (KPI)s.

**Responsibilities**:
Information Systems and Data Management
- To support the management of the referral systems in place including EPIC and Badgernet, including where appropriate acknowledging or responding to referrals, ensuring they are logged correctly, ensuring the waiting list is maintained accurately
- To support the team in ensuring all referrals are logged onto Badgernet accurately and other required data such as response times are logged in an accurate and timely way, on a daily basis.
- To support the team in the collection, collation and submission of UKROC data including ensuring all key performance indicator(s) and mandatory research fields are entered, giving feedback to the clinical team where necessary and supporting the timely submission of data
- To support the Service Manager and Deputy Head of Therapies in compiling accurate data relating to the RAAR Key Performance Indicators (KPIs) including entering data and maintaining appropriate excel spreadsheets, and being able to extract data from patient systems such as EPIC and Badgernet
Administrative Responsibilities
- To support the general day to day running of the RAAR team including supporting room booking, organising meetings and supporting minute taking, and supporting the organisation of electronic resources such as the shared drive
- To support ordering of administrative and clinical kit and equipment and supplies using hospital procurement systems
- To monitor and maintain clinical resources such as assessment forms, booklets and handouts under the direction of the clinical team
- To support the clinical team in sending timely and professional clinic letters and reports both physically and electronically
- To cross cover with other administrators within the directorate as required
Communication and Representation
- To support the Service Manager and Deputy Head of Therapies in compiling reports and presentations for internal and external stakeholders including regular reporting on team KPIs
