Job Description**
What's it all about?**
Working within the VMS (Visa Managed Services) Hub team, this role will report into the Projects and Resourcing Manager and have responsibility for supporting the delivery of VMS engagements across Europe. The individual will serve as a central point of contact and link between VMS employees, internal departments and external parties, including vendors and clients, and with responsibility for supporting sourcing / procurement activity, project mobilization, and financial processes and reporting, this role is critical in supporting operational delivery in a rapidly growing function of Visa.
**What we expect you to do, day to day.**
- Managing the administrative element of an engagement setup, including proposal drafting, status tracking, requesting appropriate approvals, and ensuring internal systems are updated in a timely manner
- Delivery of weekly / monthly financial management activities, including supplier invoicing, receipting, client billing, revenue recognition, project milestone reporting, and overall financial tracking for VMS
- Taking ownership for the end-to-end engagement mobilization and financial monitoring processes, proactively resolving any issues and disputes that are presented
- Supporting sourcing activities, including input into the production of RFP documentation, management of supplier information, and production of supplier statements of work
- Responsible for ensuring document repository is updated and maintained on a regular basis, ensuring version control governance across processes to meet internal audit requirements
- Developing and maintaining close working relationships with internal teams, ensuring close process alignment and collaboration
- Point of contact for any VMS MI updates to help keep VMS Hub and other teams updated on VMS performance, preparing reports for the Head of VMS in timely manner
- Ensuring team administrative duties are processed accurately and efficiently to deadlines
- Responsible for identifying improvement opportunities within processes to ensure best practice across all VMS ways of working
- Communicating well with your team, department and wider business
Qualifications**
What we’re after**
- Experience of financial month end processing would be advantageous
- Experience of working within a project environment desirable
- Cards / financial services understanding beneficial
- Advanced MS Excel experience required
- Strong organizational skills, experienced in working on multiple activities simultaneously and managing time effectively
- Proactive and motivated individual who takes pride in delivering high quality work with keen attention to detail
- Excellent communication skills, both written and verbal, with the ability to communicate information effectively with people from varying backgrounds and geographies
- Enjoys working as part of a fun team, with strong collaboration attributes
- Ability to adapt to changes in demands, with ability to prioritise & self-manage workloads
- Someone who is keen to take the initiative when the situation demands
- An individual with high work ethics who is happy working in a fast-paced environment
