Our client seeks a confident Administrator /Diary Manager who will take control of the appointments diary for 8 surveyors, liaising directly with our internal sales teams, verifying customer details with estate agents and sending data and literature packsto vendors, as part of your role you will also be designing driving routes for the surveyors to ensure they reach locations in a timely manner and diary appointments are planned logically around a region, you will be contacting the owner/ vendor/ estate agentsto arrange access for the surveyors and confirming the appointment with the client, in additon if there are changes or cancellations, you will organise the re-scheduling and be the main point of contact for any problems that the surveyors have when they attendsite e.G. Keys don’t work, gates that don't open, alarm systems etc.

The role will require you to demonstrate exceptional attention to detail, you will need to have good regional/geographical knowledge or at least be a confident user of online mapping and road tools, you will demonstrate excellent customers services skillsboth verbally on the telephone and in written correspondence and keep an ear to the ground int he office when anticipating new appointments from the internal sales teams.

DIARY MANAGER
- Making/ receiving calls to book appointments.(- Approx. 135 per week for 8 surveyors.)
- Designing driving routes for surveyors
- Sending out instruction information and receiving authorisations (Valuations)
- Adding in correct information for appointment/ surveyors (STP/KA)
- Creating job number - to be automated with computer system.
- Creating Job file
- Contact details for accounts - to be automated with computer system.
- Confirming appointment with agent/ vendor and updating as required.
- Confirming appointment with client and updating as required.
- Revising appointments as required - dealing with cancellations etc.
- Ensuring surveyors have correct information.

The person spec

The role will require you to demonstrate exceptional attention to detail, have good regional/geographical knowledge of the local area and demonstrate excellent customer’s services skills both verbally on the telephone and in written correspondence.

This is a very friendly team and the office is open plan, you will be required to undertake most of your daily tasks via the telephone and from time to time support the reception function over lunchtime or holiday.

The job would entail designing driving routes for the surveyor, contacting the owner/ vendor/ estate agent to arrange access and then confirming the appointment with the client.

Also dealing with cancellations, re-scheduling and problems that the surveyors have when they attend site (ie the keys don’t work) so you must be able to work in sometimes very time critical timescales.
