**Secretary to the Manufacturing Director**

**The Role**:

- Devising and maintaining office systems, including data management and filing.
- Arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations
- Screening phone calls, enquiries and requests, and handling them when appropriate
- Ensuring all RFQ’s, Quotations and re-quotes are submitted within 24hours of receipt, then follow up within 48 hours with relevant departments
- Meeting and greeting visitors at all levels of seniority
- Corporate image to be paramount, monitor all staff attire / Uniforms
- Ensure housekeeping in all offices, but in particular Reception, Meeting Rooms and Boardroom. Liaise directly with Cleaning company
- Paperwork cleanse and business card requirements
- Organizing and maintaining diaries and making appointments
- Organizing and attending meetings and ensuring the manager is well prepared for meetings
- Taking dictation and minutes
- Producing documents briefing papers, reports and presentations
- Carrying out background research and presenting findings
- Liaising with clients, suppliers and other staff
- Carrying out specific projects and research
- Responsible for accounts and budgets
- Extract Sales Reports, monitor actions and review activity, and report to MD
- Extract Kaizen report and submit to MD
- Taking on some of the manager’s responsibilities and working more closely with management
- Deputizing for the manager, making decisions and delegating work to others in the manager’s absence
- Being involved in decision-making processes
- Internal announcements MD support
- Team building ideas
- Weekly organization reports

**Requirements**:

- MUST have worked within a similar environment before, preferably manufacturing or construction
- Highly skilled at building relationships
- Must have a clean driving license and be available to travel it needed.
- Must present yourself immaculately, very smart and presentable as will be meeting suppliers and customers face to face.
- Very analytical approach
- Confident personality and very driven

**Salary**: £35,000.00-£45,000.00 per year

Schedule:

- Monday to Friday

Ability to commute/relocate:

- Mountain Ash, Rhondda Cynon Taff: reliably commute or plan to relocate before starting work (required)

Work Location: In person
