**Role Purpose**:
To receive incoming telephone calls and visitors to the Hospital and to direct them to the appropriate department of healthcare professional in a courteous, efficient and effective way. To provide general assistance to the Hospital admin team and project a positive and friendly image to patients and visitors, either in person or via the telephone. To reinforce the ethos of the hospital in their manner and professionalism.

**Role Context**:
The post holder will work as a member of the administration team within both units across the Hospital. They will be responsible for delivering a high standard of service to staff members, patients and their families and external visitors to the Hospital. The post holder will demonstrate empathic understanding, compassion and positive regard in maintaining the ethos and values of the hospital.

**MAIN ACCOUNTABILITIES**

**PERFORMANCE MEASURES**
- To ensure an effective and efficient reception service is provided to any visitors to the Hospital.
- To deal with all general enquiries both on the telephone and in person with a professional and helpful attitude and manner.
- To be aware of your surroundings especially with regard to patient’s locality, and maintain confidentiality and boundaries at all times.
- To receive and make telephone calls to and from the Hospital as required. To divert calls as appropriate.
- To ensure that any messages taken are clear and concise with attention to detail throughout. To recognise the importance that they are passed to the relevant member of staff in a timely and appropriate manner.
- To sign for and distribute deliveries to the hospital reception.
- To ensure that any contractors or visitors provide the required proof of identity and sign in and out as applicable. To make them aware of the fire evacuation procedures whilst in the building.
- To provide refreshments for external meetings as required. To assist in the preparation of rooms for both meetings and training purposes.
- To manage, issue and reconcile petty cash, both for nursing and non-clinical staff. To ensure that levels of cash are appropriately maintained in the nurses safe and accounted for on a daily basis. To liaise with the finance manager to ensure that sufficient amounts are available each day and to provide cover in the event of annual leave or absence.
- To assist in the maintaining, entering and updating of patient records and details onto computer as required.
- To collaborate and recognise the importance of effective communication with other members of the administration and wider team.
- To recognise and respond accordingly to the need for alternative methods of communication and reasonable adjustments.
- To provide admin support to the management as requested or required.
- Undertake any other additional duties appropriate to the role as requested by the Riverdale Senior Management team.

**Teaching, Training & Supervision**
- To actively engage in monthly supervision.
- To regularly attend staff and administration team meetings.
- To actively engage in the appraisal process
- To actively participate in your own personal and professional development.
- To actively engage in formal and informal training opportunities to develop and maintain skills and knowledge.
- To adhere to essential and statutory training requirements.

**Health & Safety**
- To report immediately to the Senior Management any illness of an infectious nature or accident incurred by a patient, colleague, self or visitor/contractor entering the hospital.
- To follow this up with the correct documentation/reporting procedure.
- Using appropriate infection control procedures to keep your own work area and the reception area tidy, safe and free from hazards.
- To ensure that all visitors, contractors, agency workers adhere to any current Hospital’s PPE/Infection Control measures.

**Policies & Procedures**
- Understand and adhere to the hospital policies, procedures and ensure that others also adhere to these.
- Take personal responsibility for maintaining up to date knowledge and adhering to all hospital policies and procedures.
- Works within the hospital’s Equality and Diversity framework.
- Ensure that visitors understand the hospital policies and procedures as it affects them.
- Code of conduct and hospital/professional policies and procedures are adhered to.

**PHYSICAL EFFORT**
- There is a frequent requirement for sitting in a restricted position behind a reception desk.
- To undertake relevant essential training which may involve practical activities.
- Respond to deliveries and be able to lift, distribute and log parcels and packages in an appropriate manner and in accordance to training provided.

**EMOTIONAL EFFORT**

Occasional exposure to highly distressing and highly emotional circumstances with patients and families.
