MATERNITY COVER; The British Coatings Federation (BCF) is the sole UK Trade Association representing the interests of the decorative, industrial and powder coatings, printing inks and wallcovering manufacturers. The BCF are looking for a **Maternity Cover** Training & Events Administrator to join their award-winning team to support the secretariat service for the ASSOCIATION FOR SPECIALIST FIRE PROTECTION. This is a busy and varied administrator role working within the administration team based in Coventry.

The key responsibilities of the post are:
**Training**:

- Field, manage and respond to training enquiries.
- Review and make changes, maintain training protocols and training criteria in-line with the agreed requirements of the organisation.
- Raise, dispatch, and manage all training invoices.
- Produce and send to delegates all relative training collateral.
- Communicate training information relating to the organisation to all members in the agreed media and timescales.
- Manage all training data and make changes to said data where agreed and/or appropriate in all forms of media whatever that may be.
- Support arrange and attend (where applicable), events, and meetings applicable to training whether that be at the secretariat’s registered address or another location.
- Produce reports in a timely manner relating to matters of training in content(s) and format(s) agreed with the management and officers of the organisation
- Keep records of all training relating to compliance of/with membership requirements.

**Events & Meetings**:

- Liaise with the ASFP in terms of agreed strategic events, meetings and associated details.
- Locate, negotiate with and secure appropriate venues, plus follow best practice guidelines in terms of costs and payment terms.
- Administrate, support and manage all (but not limited to) aspects of events and meetings (AGM, Awards, Trade Shows, Seminars and CPD Provision):

- Collateral.
- Stands, audio/visual and materials.
- Program including contents and running order.
- Registration(s).
- Third party suppliers.
- Catering.
- Marketing.
- Data gathering (delegates, visitors and persons of notable interest).
- Social Media.
- Literature.
- Speakers.
- Delegates.
- Invoicing and/or raising orders.
- Individual event account management (cost verses revenue).
- Call notices and attendance schedule(s).
- Minutes, agendas and actions (where applicable).
- Papers and reports (where applicable).
- Ballots and associated collateral.
- Post event data gathering and distribution, debriefing and evaluation, plus actions.

**Marketing, Website & Social Media**:

- Deliver any such market research as required by the organisation at the time of demand.
- Design and publishing of all marketing material and/or collateral (whatever media that may be required).
- Design and publication of press releases (whatever media that may be).
- Support with the media.
- Day to day management of the website content (but not limited to):

- Frequent changes of website images/video/text to improve ranking.
- Uploading and management of new and/or revised documents.
- Uploading and management of new and/or revised publications
- Membership data and information.
- Training data and information.
- Standards, compliance and best practice data and information.
- Legislation data and information.
- Officers and council information.
- Positions vacant (organisation and/or members).
- Events: AGM, Awards, Trade Shows, Seminars and CPD Provision.
- Day to day management of social media platforms (but not limited to):

- Broadcast of:

- Planned communications (in-line with the marketing strategy).
- Response(s) to unforeseen events.
- Events: AGM, Awards, Trade Shows, Seminars and CPD Provision.
- New and/or revised documents.
- New and/or revised publications.
- Membership data and information.
- Training data and information.
- Standards, compliance and best practice data and information.
- Legislation data and information.
- Officers and council information.
- Positions vacant (organisation and/or members).
- Events: AGM, Awards, Trade Shows, Seminars and CPD Provision.

**General Administration & Clerical**:

- Managing all enquiries to the appropriate member of the secretariat and/or organisation officer.
- Coordinate all circulations (by whatever media) whether that be internal and/or external to the organisation. Managing all collateral, information and/or publication requests.
- Manage, maintain, develop, and report on all aspects of the CRM (Customer Relationship Management), database, records and/or accounts in-line with the agreed requirements and protocols of the organisation.

**Qualifications, Key Skills and Experience**:

- Diploma or equivalent in business studies would be an advantage
- Customer Service experience
- Strong administration and organisational skills
- Communications experience
- Knowledgeable using Excel, PowerPoint, and Word
- Strong IT skills
