**MAIN DUTIES AND RESPONSIBILITIES**
**The Role**:
Working alongside the Management Team you will be responsible for managing and organising office operations and procedures in order to ensure high quality care and support standards.
**Primary Duties**:
1. Design and maintain systems and processes for office filing systems and maintain stock control on site.
2. Take responsibility for a busy caseload, reporting regularly to the Registered Managers regarding the status of each employee and keeping the HR and Recruitment up to date for the New Starter Checklist. You will have some responsibility for preparing paperwork for induction, providing fobs and supporting over pay day.
3. To upload the rotas on a weekly basis
4. To ensure that audits are circulated according to schedule and that these are collated and returned on agreed dates and prepared for the Registered Managers review.
5. To ensure and maintain excellent data protection and confidentiality standards at all times, both internally and externally, in accordance with the agreed organisational policy. To work in accordance with the framework for the Data Protection Act and the Payroll and Human Resources Departments to ensure that new starter information is accurate, secure, private and processed in accordance with due process and deadlines.
6. To maintain accurate recordings of all day to day work progress for your caseload in the Recruitment Log and New Starter Checklist to evidence all actions taken.
8. Ensure additional computerised and manual filing systems are kept up to date and to archive documents when required in accordance with the recruitment process and data protection policy.
9. To maintain the training matrix’s for Newfound Care, organise booking of training as required following schedule set by the organisation.
11. To ensure that any queries are dealt with in a professional manner and that any messages taken for colleagues are passed to the relevant staff member in full and with accurate detail.
13. Ensure that every new starter you are responsible for is processed as efficiently as possible so as to achieve timely confirmed start dates.
**General Duties**:
1.To support other functions of recruitment to ensure the effective running of the service. This may include: - Maintaining archiving/filing - Participating as a supporting interview panel member for group interviews.
2. Opening and sorting incoming mail and then distributing to the relevant staff members.
3. Ensuring the office working areas are kept tidy and well maintained at all times.
5. To type general correspondence and carry out data entry tasks as required.
6. To provide administrative support for Senior Management in the event of absence.
7. You will accept regular supervision from the Director of Services.
8. To carry out all work in a manner consistent with the aims and principles of The company(s) in addition to complying with and implementing the Equal Opportunities Policy of The company(s).
9. You will maintain confidentiality at all times in accordance to The company(s) Policy and the framework of the Data Protection Act.
10. To observe any written policies, procedures and guidelines for good practice agreed by The company(s).
11. Any other duties as required.
**Driving is an essential part of the role as you will be working across both Newfound Care locations. The company will pay for any toll travel and mileage pay will be discussed and negotiated during interview.**
